We are Happy Mushroom, a full-service Virtual Art Studio Department specializing in providing high-end, real-time 3D Content and In-Engine CG production solutions for the Film, TV, Games, and VFX industries. Some of our highlighted projects include The Mandalorian, Those Who Wish Me Dead, Suicide Squad, and more.

We are currently looking for a talented, passionate, and experienced VFX Scheduler with extensive artist management experience, project scheduling expertise, and the ability to think outside the box and partner with leaders & team members to ensure creative projects are efficiently staffed, brought to completion and along with extensive strategic planning support creative artists in their creative journey with our company. This position relies heavily in understanding technical problems the artist team may face from an artistic perspective, while working directly with members of our Production team. This is a highly strategic position that requires maintaining swift communication to both team members and executives of the project timeline, and problem-solve conflicts as they arise.

This is a remote opportunity, and work from home office set-up is required (equipment provided).

Key Responsibilities: The VFX Scheduler will proactively support our creative artists whilst effectively assigning them to projects best suited to their skills, delivering project requirements & timeline, and communicating staffing needs to our Talent Acquisition team, should the project require it.

This role will also require strategic management of budgets to ensure the project remains within labor cost. Effective time management and excellent communication skills are required! We work hard and play hard!

Candidates should be proficient in VFX scheduling, VFX Artist Management, Art Asset Supervision and effective Management. Additionally, they should have expertise in creative project pipeline creation and practices.

This role includes, but is not limited to the following responsibilities:

  • Ability to understand current project needs and promptly communicate these to our Associate Producers and Creative Artists
  • Work collaboratively as part of a team whilst fostering an inclusive and warm culture
  • Inspire and encourage our team of Artists, and help them succeed in their assigned project and throughout their tenure with the company
  • Create, maintain and distribute schedules (Shotgrid) for all projects quickly and effectively
  • Help build and staff strong talented teams for various projects.
  • Support the creative vision of clients and art directors, while providing support artists and Producers
  • Document and communicate technical requirements to artists
  • Promote Diversity, Equality and Inclusion through management style
  • Support our creative artists while mirroring our core values
  • Toggle between projects seamlessly and being able to thrive in a highly fluid environment
  • Gather and obtain necessary project information and assets for artists and production
  • Support our creative department by effectively assigning projects, forecasting roll-offs and ensuring our artists are constantly made aware of new projects in the pipeline
  • Maintain an effective communication line with artists currently in projects as well as those in-between projects or on leave, ensuring they are made aware of future projects best fit for their style, and communicating their status & return date to both Production and Human Resources departments
  • Communicate with HR regarding staffing/layoff needs
  • Schedule and prioritize tasks and projects to ensure work is effectively staffed and within budget
  • Establish and maintain positive and professional working relationships with various teams
  • Collaborate with artists to overcome complex problems and improve team morale
  • Improve existing and/or create new processes to help communication and efficacy of projects
  • Predict, identify and propose solutions for impediments, project risks and issues
  • Communicate issues to management quickly and look for solutions that will aid in work flow to foster effective allocation of resources on a daily basis.
  • Predict, communicate and problem-solve should scheduling hurdles arise, whilst working with Artists and Producers to maximize revenue.
  • Manage Artists’ PTO, vacation requests and sick time to ensure creative teams are efficiently staffed, deployed and allocated on each project

(Hello? Is it you we are looking for?) The perfect candidate will possess:

  • A track record of Industry experience and knowledge of scheduling, managing and leading a team of Creative Artists with an understanding of VFX production and supervision of tasks
  • Excellent understanding and experience in VFX, Motion Graphics, Film, Entertainment or Gaming art pipelines, technical knowledge, and the processes of the different art disciplines
  • Strong proficiency in artistic principles and techniques
  • Capability of ensuring timely staffing for newly funded projects
  • Strong knowledge of engine integrations and optimizations
  • Excellent communication, collaboration, problem-solving, and leadership skills
  • Up-to-date experience in Unreal Engine and other real-time 3D creation tools
  • Excellent oral and written communication and follow-up skills 
  • An approachable, professional, friendly and inclusive demeanor whilst fostering a culture of greatness
  • Legendary project scheduling experience whilst completing projects within timeline deadlines, under budget, staffed accordingly, and while seamlessly toggling between projects
  • Excellent organizational and time-management skills
  • Solid critical thinking and project management skills
  • Strong sense of navigation through strict project schedules, timelines, tight budgets and staffing
  • A self-starter personality with the ability to handle multiple projects simultaneously and efficiently
  • Keen ability to interact and contribute as part of a team as well as support others when guidance is needed
  • Eagerness to work with Producers and Managers to develop potential solutions to improve production performance and procedures

  • Formal project management certification such as PMP
