Position Overview

Marion Polk Food Share is the regional food bank leading the fight to end hunger in Marion and Polk Counties. Support from our local community makes it possible for the Food Share to collect and distribute nutritious food for children, adults, and seniors through more than 100 partner programs, including food pantries, meal sites and home-delivered meals and to carry out programs to address the root causes of hunger.

Statement of Purpose:

To engage donors, prospective donors and volunteers in the mission of the Food Share by communicating compelling giving opportunities which allow them to make a positive impact in their community.


Summary of Role:

The Events Coordinator engages donors in the Food Share’s mission through events and other development activities. This includes a suite of fundraising and stewardship events that reflect the Food Share’s brand and advance the strategic goals of the organization.


Core Areas of Responsibility

  • Assists in the planning and production of Marion Polk Food Share events.

**This position has no direct supervisory responsibilities but may provide leadership, guidance and training to volunteers.


Areas of Responsibility, Evaluation and Essential Functions:

  • Assists with planning, implementation, and production of all Food Share fundraising and stewardship events
  • Prepares necessary documents for events including but not limited to contractual agreements and certificates of insurance
  • Coordinates third party vendors including but not limited to equipment rentals, caterers, graphic designers and video/ AV & Tech
  • Works with Donor Engagement Manager to develop materials related to events including external communications, printed event materials (including but not limited to signage, programs, invitations, nametags, etc.) and event scripts
  • Supports donor outreach as related to events (sponsorship materials and requests, auction item acquisition, ticket sales, etc.)
  • Understands and utilizes Greater Giving software to process event payments and gifts
  • Understands and utilizes Raiser’s Edge software to manage event RSVPs
  • Assists with post event evaluations, reporting and post event thanking
  • Ensures all special events are on all relevant calendars, including the department communications calendar and key staff calendars
  • Develops solutions and communicates them to relevant individuals when problems arise
  • Works with the Volunteer Manager to recruit and mobilize volunteers
  • Provides support for general Food Share events; participates in committees and lends administrative support as needed
  • Works collaboratively with members of the Development Team to support other development activities and achieve team goals
  • Other duties as assigned

Requirements

Education and/or Experience; Certificates, / Licenses/Registrations:

  • Bachelor’s degree in business, marketing, public relations, or related field, preferred.
  • Minimum of 2 years of event planning experience, preferred.
  • Proficiency with Microsoft Office products and experience with computer databases and tools.
  • Raiser’s Edge experience preferred.
  • Must possess Oregon driver’s license and auto insurance and acceptable driving history for the last three years.
  • Must pass pre-employment drug screen (excluding THC) and full background check, including driving record check.

Job Conditions:

Work may be performed at a workstation while using a telephone and sitting at a computer screen for extended periods and throughout other venues in the community. May occasionally lift, move, and carry objects more than 30 pounds. Work is subject to varying indoor and outdoor temperatures and road and walkway surfaces in all seasons. May work or travel out of the local area and work outside normal working hours, such as evenings and weekends, on occasion. Work more than 40 hours per week during peak business periods may occasionally be required.

Remote work may be available for this position. All remote work assignments begin, end, or change only with supervisory approval.

The Food Share provides essential services to our neighbors in Marion and Polk counties. As a result, all Food Share employees may be asked to report to work during local public health, weather, or other environmental emergencies.
