Stewardship and Communications

Marion Polk Food Share is the regional food bank serving Marion and Polk Counties. Support from our local community makes it possible for the Food Share to collect and distribute nutritious food for children, adults, and seniors through more than 100 partner programs, including food pantries, meal sites and home-delivered meals and to carry out programs to address the root causes of hunger.

Statement of Purpose:

To further the engagement of leadership-level donors with the Food Share by providing the resources and support needed for the Major Gifts Team to effectively build meaningful donor relationships.


Summary of Role:

The Donor Relations Coordinator supports the Major Gifts Team by creating donor communications and recognition materials that meaningfully connect leadership-level donors with their philanthropic interests at the Food Share.


Core Areas of Responsibility

  • Create donor proposals that are tailored to donors’ passions and interests at the Food Share.
  • Create donor impact reports that are tailored to donors’ philanthropic support of the Food Share.
  • Develop and maintain donor recognition communications and signage.
  • Develop and create regular stewardship communications for leadership-level donors.
  • Provide support to Grants Manager by writing and preparing grant proposals and reports for submission to Foundations.

This position has no supervisory responsibilities but may provide leadership, guidance and training to volunteers


Areas of Responsibility, Evaluation and Essential Functions:

  • Working with Director of Major Gifts, and Major Gift Officers, create individual donor proposals that are tailored to donors’ passions and interests at the Food Share.
  • Working with Associate Major Gift Officer, create donor communications that connect donors with their impact on the Food Share’s mission.
  • Maintain updated proposal collateral such as narrative, photos, statistics and costs to be used in proposal development.
  • Working with Director of Major Gifts and Major Gift Officers, create individual donor impact reports that are tailored to donors’ philanthropic support. Gather necessary information from program staff and participants to effectively communicate and demonstrate the donors’ impact.
  • Create annual donor impact reports for Food Share program areas, including the Youth Farm, Community Gardens, Meals on Wheels, AWARE Food Bank, Iskam Mek h Mek Haws, and the Emergency Food program. Gather necessary information and photos from program staff and participants to effectively communicate and demonstrate the donors’ impact.
  • Create donor impact reports for special projects as needed.
  • Working with Director of Major Gifts and Major Gift Officers, create impact stories, photos and communications to support their personalized donor plans.
  • Work with the Communications Manager to develop and create monthly stewardship communications for leadership-level donors.
  • Gather thank you notes and testimonials from programs and participants to be shared with leadership-level donors.
  • Support Major Gift Officers by creating presentations or materials as needed for donor meetings.
  • Provide support to Grants Manager by writing and preparing grant proposals, reports and acknowledgements for submission to Foundations. Assist as needed with gathering of support materials for proposals and reports.
  • Provide support as needed to Director of Major Gifts and Grants manager on the tracking grant funding spending.
  • Other duties as assigned
Requirements

Education and/or Experience; Certificates, /Licenses /Registrations:

  • Bachelor’s degree in Marketing, English, Communications, or equivalent experience preferred.
  • Three or more years of professional experience in Development, Communications, or Marketing preferred.
  • Proficiency with Microsoft Office products.
  • Must pass pre-employment drug screen and full background check, including driving record check.


Necessary Knowledge, Skills and Abilities:

  • Demonstrated excellent written and verbal communication skills.
  • Demonstrated ability to use effective interpersonal skills to gather information and build relationships with clients, volunteers and staff.
  • Demonstrated skills and commitment to quality, timeliness, efficiency, and effectiveness.
  • Ability to maintain confidentiality of all donor, client and volunteer information.
  • Must review and agree to Association of Fundraising Professionals’ Code of Ethical Standards.


Job Conditions:

Work may be performed at a workstation while using a telephone and sitting at a computer screen for extended periods and throughout other venues in the community. May occasionally lift, move, and carry objects more than 30 pounds. Work is subject to varying indoor and outdoor temperatures and road and walkway surface in all seasons. May work or travel out of the local area and work outside normal working hours, such as evenings and weekends, on occasion. Work in excess of 10 hours per week during peak business periods may occasionally be required.

This position requires some onsite work hours, however remote work options may be available for some of this position.  All remote work assignments begin, end, or change only with supervisory approval.


The Food Share provides essential services to our neighbors in Marion and Polk counties. As a result, all Food Share employees may be asked to report to work during local public health, weather, or other environmental emergencies.
