Hammond Lumber Co. (“HLC”) is committed to respecting your privacy and protecting your personal data. We define personal as information that directly identifies an individual or that makes an individual identifiable when combined with other information.
 

This Recruiting Privacy Notice (“Privacy Notice”) describes how we handle and protect your personal data in connection with HLC’s recruiting processes and programs, including the use of third-party service providers. In case of a conflict between this Privacy Notice and applicable law, applicable law will govern. This Privacy Notice only applies to the personal data of job applicants, potential candidates for employment.
 

By submitting your personal data to us, you acknowledge that:

  • You have read and understood this Privacy Notice and agree to the use of your personal data as set out below.
  • You are not required to provide any requested information to us, but your failure to do so may result in our not being able to continue or consider your application for the job for which you have applied.
  • All of your representations are true and correct to the best of your knowledge and belief, and you have not knowingly omitted any related information, including information of an adverse nature. Providing any inaccurate information may make you ineligible for employment.
  • This Privacy Notice does not and will not form part of any contract of employment offered to applicants hired by HLC. 

Information We Collect

When you apply for a job with us, including through a third-party service provider or otherwise, you may be asked for certain information from and about you in order to evaluate and process your application. This information may include:

  • Contact information, such as name, telephone number, address, email, and username;
  • Current resume;
  • Previous work experience, education, degrees, and other skills and employment-related information;
  • Professional and other work-related licenses, permits, and certifications;
  • Awards and professional memberships;
  • Work authorization status; 
  • Information relating to references; 
  • Information from social media sites if you choose to link your application to a social media;
  • IP address, browser/device information if applying through an online system; and
  • Any other information you elect to provide to us.

How Your Information Is Used

The information that you submit during a job application process may be used for personnel recruitment, management, and planning purposes including but not limited to the following:

  • Analyzing your qualifications for the job you applied for or future jobs that may match your profile;
  • Communicating with you regarding your job application, your inquiries and requests, other job openings, or important notices;
  • Conducting criminal history, background, and employment checks, consistent with and as required by applicable laws, if we offer you a position;
  • Complying with or monitoring our compliance with applicable laws or regulations. 

Accuracy of the Information You Provide

You are responsible for the information you provide and ensuring that it is complete, truthful, accurate, and not misleading in any way.

How Your Information Is Shared

Your information may be shared with the following, as and when necessary and consistent with required business purposes:

  • Internal personnel, such as Human Resources personnel, supervisors, administrators, and other individuals involved in the recruiting and hiring process;
  • Background check sources and job platform providers who assist in recruitment and hiring; 
  • Vendors and service providers who may need the information to perform a business, administrative, technological, or other professional function; 
  • Regulatory or legal authorities, if required to comply with applicable laws.

We do not sell or share your information for marketing or advertising purposes.

Data Retention

If you accept an offer of employment with us, any relevant personal data collected during your pre-employment period will become part of your personnel records and will be retained in accordance with applicable legal and regulatory requirements and privacy policies applicable to HLC employees. If we do not employ you we may nevertheless continue to retain your personal data as required by applicable law and may use your personal data for a period of time for administration purposes, to consider you for potential future roles, and to perform research. Thereafter, we may retain a minimal amount of your personal data to record your recruiting activity with us.

Security

We implement the appropriate organizational, technical, and physical security measures and controls to protect the confidentiality, integrity, and availability of the personal information you provide. Only authorized personnel of HLC and third-party service providers. Unfortunately, no data transmission or storage system can be guaranteed to be 100% secure. If you have reason to believe that your interaction with us is no longer secure, please immediately notify us or our third-party service provider of the problem.

Changes

We reserve the right to modify, alter, or update the terms and conditions of this Privacy Notice from time to time without prior notice. We will post those changes on this page. Modifications shall become effective immediately upon being posted.
