Recruitment Privacy Policy and Notice

KidneySPA and its Affiliates ("we," "us," "our", “the Company”) is committed to protecting the privacy of job applicants and potential candidates. This Recruitment Privacy Policy and Notice ("Policy") outlines how we collect, use, disclose, and protect your personal information during the recruitment process. This Policy only applies to the personal information (personal data) collected for Recruitment Purposes. In case of conflict between this Policy and applicable law, applicable law will govern. 


KidneySPA is the data controller of your personal information during the recruitment process, determining the purposes and means of its processing. We use Paylocity and other vendors as data processors who may assist us in managing your application and related communications. Individuals who submit their personal data to us, in doing so, acknowledge that they have read and understand this Privacy Notice and agree to the use of their personal data as outlined herein. This notice in no way forms any contract of employment offered to potential candidates by the Company. 


Information We Collect

The Company usually collects information directly from the applicant and/or potential candidate, which is provided voluntarily by the same, and within the requirements and allowanced offered by law. We may collect the following types of personal information:

  1. Contact Information: Name, address, email address, telephone number.
  2. Application Information: Resume/CV, cover letter, work experience, education, transcripts, licensure, references.
  3. Interview Information: Notes from interviews and phone screenings.
  4. Employment Preferences: Desired salary, benefits, willingness to relocate.
  5. Sensitive Information: Gender, citizenship, nationality, health information, racial or ethnic origin; only as permissible by law.
  6. Background Checks: Information from references and background checks.
  7. Publicly Available Information: Information from online sources such as LinkedIn profiles.

How We Use Your Information

Your personal information will be used for the following purposes:

  1. Assessing Qualifications: Evaluating applicant/candidate skills, qualifications, and interests against job opportunities.
  2. Verification: Conducting reference and background checks.
  3. Communication: Communicating with applicants/candidates about the recruitment process and potential career opportunities.
  4. Legal Compliance: Creating reports as required by law and assisting with visa or work permit applications if applicable.
  5. Process Improvement: Improving our recruitment process. 

Our processing of your personal information is based on one or more of the following legal bases:

During the course of the recruitment process we may disclose your personal information to:

Service Providers: Third-party service providers who assist with recruitment activities or provide online or other tools used in the recruitment process, such as applicant tracking platforms, background check providers, or credential verification services. These providers are contractually required to protect your information and use it only for the services they perform on our behalf.

Data Security and Retention

We implement appropriate technical and organizational measures to protect your personal information from unauthorized access, disclosure, alteration, or destruction. Upon accepting an offer of employment, relevant data collected during the pre-employment process may be retained as part of your personnel record and maintained according to our records management policies. 


Your Rights

By voluntarily providing personal information during the recruitment process, you do so ensure that all of the information provided is true and accurate and that you have not knowingly omitted or misrepresented the facts provided during said application. Knowingly omitting information or providing inaccurate information may make you ineligible for employment with us. 


You have the following rights regarding your personal information:

– Access: Request access to your personal information.

– Correction: Request correction of inaccurate or incomplete information.

– Deletion: Request for deletion of your personal information.

– Objection: Object to the processing of your personal information.


Those applicants or potential candidates who would like to request to access, correct, or delete their personal information may do so by contacting the Human Resources department. Instructions will be provided for timely action in accordance with the request. Anyone who objects to the use of personal information provided during the recruitment process must call immediately and acknowledges that their objection towards use of the information provided may interfere with the hiring process and invalidate the individual’s application and/or consideration for employment with the Company.
