Candidate Privacy Policy

1. Introduction

This Candidate Privacy Policy explains how Lumbermen Associates, Inc. (“we,” “our,” or “us”) collects, uses, and protects personal information from individuals applying for employment (“candidates” or “you”). This policy applies to candidates located in the United States.


2. Information We Collect

We collect the following categories of information during the application and hiring process:

A. Information You Provide

  • Name, address, phone number, and email
  • Resume/CV, education, work history, and skills
  • Cover letters, portfolios, or certifications
  • Legal work authorization information
  • Voluntary EEO and VETS demographic data (collected for reporting and compliance only)

B. Interview & Assessment Information

  • Interview notes
  • Assessment results (if applicable)
  • Scheduling and communication records

C. Third‑Party Sources

  • Job boards or recruiters (e.g., LinkedIn, Indeed)
  • References you authorize
  • Background check providers (only after a conditional offer)

D. System & Website Information

  • Information collected through our applicant tracking system such as application timestamps and basic technical/usage data


3. How We Use Candidate Information

We use your information to:

  1. Review and evaluate your application
  2. Communicate with you throughout the hiring process
  3. Schedule interviews and manage assessments
  4. Conduct background checks after a conditional offer
  5. Meet federal and state reporting requirements, including EEO/VETS obligations
  6. Maintain legally required hiring records
  7. Improve our recruiting processes and applicant experience

We do not sell candidate information.


4. How We Share Information

We may share information with:

  • Internal team members involved in hiring
  • Service providers, including: Applicant tracking system (ATS), Background screening vendors, Scheduling or communication tools
  • Government agencies, when legally required (e.g., EEO reporting)
  • References you authorize us to contact

All service providers are required to protect your information and use it only to support our hiring process.

 

5. Data Retention

We keep candidate information only for the minimum period required by federal and state laws, such as:

  • EEO recordkeeping requirements
  • VETS reporting requirements
  • General hiring documentation requirements

After required retention periods expire, we delete or securely discard your information unless additional retention is required to comply with legal obligations.


6. Candidate Rights 

Candidates may have rights to:

  • Request access to the personal information we hold
  • Request correction of inaccurate information
  • Request deletion when allowed under applicable law
  • Request information about how their data is used
  • Candidates may also have rights under applicable state law.

7. Background Checks

For positions requiring a background check:

  • Checks occur only after a conditional offer
  • You will receive required federal and state notices
  • Checks comply with the Fair Credit Reporting Act (FCRA) and applicable state laws


8. Security

We take reasonable administrative, technical, and physical steps to protect candidate information. However, no system is completely secure. We continually work to maintain appropriate safeguards.


9. Children

We do not knowingly collect information from individuals under 16 years of age. If you believe a minor has submitted an application, please contact us so we may remove the information.


10. Changes to This Policy

We may update this Policy periodically. The Effective Date above reflects the most recent version.
