This Privacy Policy describes how we collect, use, share, and protect information submitted by job applicants ("you") through our recruitment platform, powered by Paylocity’s Applicant Tracking System (ATS).

 

Information We Collect

When you apply for a job through our Paylocity ATS, we may collect the following types of personal information:

  • Contact Information: Name, email address, phone number, mailing address.
  • Employment & Education History: Resume/CV, job titles, previous employers,      education credentials.
  • Professional Qualifications: Skills, certifications, licenses, references.
  • Voluntary Information: Diversity and inclusion data (e.g., gender, race/ethnicity,      veteran status), if you choose to provide it.
  • Technical Information: IP address, browser type, device identifiers, and usage data      collected through cookies or tracking technologies.

How We Use Your Information

We use your personal information to:

  • Process and evaluate your job application.
  • Communicate with you regarding the status of your application.
  • Schedule interviews and assessments.
  • Confirm your qualifications, education, licensure, and references.
  • Comply with applicable legal and regulatory obligations.
  • Improve our recruitment processes and ATS platform.

We retain your personal data for as long as necessary to fulfill the purposes outlined in this policy or to comply with legal obligations. If your application is unsuccessful, we may keep your information on file for future openings unless you request its deletion in our accessible files.

 

How We Share Your Information

We may share your information with:

  • Internal personnel involved in the hiring process (e.g., HR, hiring managers).
  • Third-party service providers, including Paylocity, for application processing      and analytics.
  • Government authorities, if required by law or for legal compliance.
  • Background check vendors, only with your explicit consent.

We do not sell your personal information to third parties.

 

Background Screening

As part of our process, we may conduct a background check or engage a third-party service provider to do so on our behalf. Background checks are conducted only where permitted by applicable U.S. federal, state, or local laws, and only to the extent necessary for the position you are being offered.

Background checks may include a review of your criminal history, consistent with applicable laws and regulations. We do not conduct background checks until after the first interview and further consideration has been determined. 

If a background check is required, you will be contacted by our background screening provider to request your written authorization. At that time, you will receive additional information about the background screening process and the types of personal information that may be collected and reviewed.

 

Our legal basis for conducting background screening is to take pre-employment steps necessary to establish an employment relationship with you and to help ensure a safe and trustworthy workplace.

 

Your Rights

We take reasonable steps that are designed to keep your personal data accurate, complete, and up-to-date for the purposes for which it is collected and used. We also have implemented measures that are designed to help ensure that our processing of your personal data complies with this Privacy Notice and applicable law.

 

Depending on your state of residence, you may have certain rights regarding your personal information, which may include the:

  • right to request information about the personal data that we hold      about you, including information about how we use your personal data.
  • right to request a copy of the personal data that we hold about you;
  • right to request portability of your data to permit you to provide a      copy of your personal data in a structured, commonly used, and      machine-readable format and to transmit that personal data to another      controller;
  • right to request that we correct or otherwise amend your personal      data if it is not correct or otherwise not complete, timely, and accurate      for the purposes for which we are using it;
  • right to request deletion of your personal data;
  • right to request that we cease processing or restrict or limit the      processing of your personal data;
  • right to withdraw your consent to our processing of your personal      data where the basis of our processing is your consent. This right may not      apply if there are other legal justifications to continue processing or we      need to retain certain personal data where required or permitted under      applicable law
  • right to not be discriminated against for exercising your individual      rights regarding your personal data;
  • right to seek additional legal remedies regarding our response to      your request to exercise your individual data-protection rights, depending      upon your jurisdiction, by lodging a complaint with your data-protection      authority or initiating a legal proceeding.

Upon receipt of your request to exercise your data protection rights, we will acknowledge receipt within the time period required by applicable law and provide you with information about the next steps in the process and the timing. 

To help protect your privacy and security, we may take reasonable steps to verify your identity before acting on certain data protection rights, in accordance with applicable law. If you are using an authorized agent to exercise your data protection rights and that agent does not provide a power of attorney with the initial request, we may request further evidence of the agent’s right to act on your behalf, including valid written authorization or contacting you to verify the request.

Please note that your privacy rights may vary depending on the state in which you reside, and certain rights may not be available in all jurisdictions.

Data Security 

We take reasonable technical and organizational measures to protect your personal information against unauthorized access, loss, misuse, or alteration. Our ATS provider, Paylocity, also implements industry-standard security controls.

International Applicants

If you are applying from outside the United States, your personal information may be transferred to and processed in the U.S., where data protection laws may differ from those in your country. By applying, you consent to this transfer.
