SIRQ, Inc. — Applicant Privacy Policy (Updated)

Applies To: All job applicants applying to SIRQ, Inc. through any medium, including our Paylocity Applicant Tracking System (ATS).


1. Overview

This Applicant Privacy Policy explains how SIRQ, Inc. (“SIRQ”) collects, uses, shares, and protects personal information submitted during the hiring process. This policy applies to applicants regardless of their state of residence.


2. Information We Collect

SIRQ may collect:

  • Identity & Contact Information. Name, phone number, email address, mailing address.
  • Resume, Application & Experience Data. Work history, education, certifications, skills, references and documents you provide
  • Assessment & Interview Information. Interview notes, schedules, evaluations, and pre‑employment assessments
  • Pre‑Employment Screening Information. Motor Vehicle Records (MVR) and Post‑offer, pre‑employment drug testing results that are collected and handled in accordance with applicable federal and Utah testing and privacy laws.
  • Technical Metadata. IP address and system logs from Paylocity ATS.
  • Voluntary Self‑Identified Demographic Data. Used only for EEO and compliance reporting when provided.

3. How SIRQ Uses Applicant Information

Your information is used to:

  • Evaluate your qualifications
  • Communicate with you throughout the recruitment process
  • Schedule interviews and assessments
  • Conduct MVR checks and post‑offer drug testing (with authorization)
  • Maintain talent pools for future openings
  • Comply with legal obligations
  • Improve recruiting operations through aggregated analytics

Information for successful candidates flows through:

Paylocity Recruiting → Paylocity Onboarding → Paylocity HR & Payroll, which contains SIRQ’s HRMS “source of truth” team member record.


4. Talent Pools & Future Consideration

SIRQ maintains a talent search functionality and talent pools for applicants who:

  • Were strong candidates but not selected, or
  • May fit future opportunities

Your data remains in the talent pool until you choose to withdraw it.


5. How SIRQ Shares Applicant Information

We may share data with:

Service Providers:

  • Paylocity ATS, Onboarding, HR & Payroll systems
  • Background‑check vendors for MVR and drug testing
  • Benefits management and enrollment 

Internal Team Members:

  • Hiring managers
  • Human Resources staff
  • Executive or operational leadership involved in hiring decisions

Government Agencies. When legally required for:

  • Reporting
  • Compliance
  • Verification

SIRQ does not sell applicant information.


6. Data Security

SIRQ maintains reasonable administrative, technical, and physical safeguards for applicant data in accordance with Utah’s data‑protection standards, including protections against unauthorized access, use, or disclosure of personal information. In the event of a data breach involving personal information, SIRQ will provide notifications consistent with Utah’s breach‑notification laws. 


7. Data Retention

Applicant data is retained indefinitely unless and until you withdraw it.

You may request removal from our systems or talent pool at any time, subject to SIRQ’s legal obligations to retain some records (e.g., EEO compliance, audit requirements). For successful candidates, data becomes part of your team member record in Paylocity HR & Payroll.


8. Rights for Out‑of‑State Applicants

Applicants from states that extend privacy rights to job candidates (e.g., California, Colorado, Connecticut, Virginia) may have rights to:

  • Access certain personal information
  • Request correction of inaccurate information
  • Request deletion, unless retention is legally required
  • Receive a portable copy of their information

SIRQ will honor these rights as required under each applicable state’s law.


9. International Applicants

If you apply from outside the U.S., your data will be processed in the United States through Paylocity’s secure systems.


10. Contact Information for Privacy Requests

To request:

  • Withdrawal of your data
  • Removal from the talent pool
  • Access, correction, or deletion (where applicable)
  • General privacy inquiries
