Proven IT values your privacy and is committed to protecting your personal information when you apply for a job, whether directly or through our Applicant Tracking System. This Policy explains how we collect, use, share, transfer, retain, and protect your data, as well as your rights under applicable privacy regulations such as GDPR, CCPA, and other relevant laws.

We collect information you provide to us when applying for roles, such as your name, contact details (email, telephone, address), resume, cover letter, employment and education history, and references. Additional data may come from public online profiles (e.g., LinkedIn), recruiters, assessment tools, background-check providers, former employers, or third-party reference services.

We process your personal information to evaluate your qualifications, manage recruitment steps like interviews and tests, communicate with you, perform background and reference checks (with your consent when required), arrange interviews or travel logistics, and comply with legal obligations, including anti-discrimination and labor regulations. Under GDPR, our processing is based on legitimate interests (for hiring), contractual necessity, legal obligations, or your consent (for sensitive data or background checks).

We share your information only with internal hiring teams, HR staff, and IT personnel who need it for the recruitment process, with protected third-party service providers such as background-check vendors, cloud-hosted ATS platforms, assessment partners, travel or expense administrators. We may also disclose data when required by law or during mergers, acquisitions, litigation, or government inquiries.

Your data may be transferred and stored globally, including outside the EEA or your home jurisdiction. Where required by law, such transfers are safeguarded using mechanisms like Standard Contractual Clauses or Binding Corporate Rules.

If you're not hired, we retain your information for up to two years (or as required by applicable laws or auditing standards, such as OFCCP in the U.S.) unless you ask us to delete it sooner. If you're hired, your data is securely transferred to our employee systems.

Depending on your location, you have rights under privacy laws, including access to your data, correction, deletion, restriction, portability, objection to processing, and withdrawal of consent. You may also lodge complaints with relevant regulators. To exercise any rights, contact us at HR@provenit.com. We may ask for identity verification before responding.

We implement appropriate organizational and technical safeguards to protect your data from unauthorized access, alteration, disclosure, or loss. These include encryption, restricted access controls, secure data storage, and incident response procedures.

We may update this Policy periodically to reflect changes in our practices, regulations, or technology. We will update and notify candidates of material amendments via our recruiting platform, website, or direct communications.
