ZenPoint Solutions LLC – Privacy Policy for Recruiting

At ZenPoint Solutions LLC (“ZenPoint Solutions”) we take the privacy and security of our job applicants seriously. As a U.S. federal government contractor, we are committed to protecting personally identifiable information (PII) collected during our recruiting and hiring process and to maintaining compliance with applicable laws and federal regulations, including the Federal Acquisition Regulation (FAR), Defense Federal Acquisition Regulation Supplement (DFARS), and other agency-specific guidelines.


1. Scope

This policy applies to all individuals who apply for a position at ZenPoint Solutions,  including candidates who submit applications directly, through recruiters, job boards, or referrals. It applies to all stages of the recruitment process.


2. Information We Collect

We may collect and process the following types of PII and sensitive personal information as part of our recruitment activities:

  • Full name, contact information (email, phone number, mailing address)
  • Employment and education history, resume/CV, and cover letter
  • Certifications, licenses, and professional credentials
  • U.S. work authorization and immigration status
  • Social Security Numbers to verify security clearance level and eligibility (if applicable)
  • Veteran status, disability status, and demographic data (if voluntarily disclosed)
  • Background check and reference information (if applicable)
  • Interview recordings, notes, and test or assessment results (if applicable)
  • Any other information you choose to submit during the recruitment process

3. Purpose of Collection

We use your personal information solely for recruitment and hiring purposes, including to:

  • Evaluate your skills and experience in relation to job opportunities
  • Verify your identity, work eligibility, and clearance status
  • Contact you about potential or current openings
  • Assess qualifications through interviews, evaluations, and background checks (if applicable)
  • Fulfill legal, regulatory, and contractual obligations with U.S. federal government agencies
  • Maintain records required for EEO, OFCCP, and audit compliance

4. Legal Basis and Compliance

As a federal contractor, ZenPoint Solutions may collect and retain certain information to meet the requirements under:

  • FAR Subpart 4.12 – Representations and Certifications
  • DFARS 252.204-7012 – Safeguarding Covered Defense Information
  • EEO and OFCCP Regulations – Including affirmative action obligations
  • FISMA/NIST Guidelines – For information system security and protection

All information is handled according to applicable federal privacy laws and internal data handling protocols.


5. Data Sharing and Access

We may disclose your data to:

  • Internal stakeholders involved in the recruitment process (if applicable)
  • Government clients or agencies to confirm contract eligibility (e.g., security clearance)
  • Background check vendors or third-party service providers under confidentiality obligations 
  • Legal authorities, when required by law, regulation, subpoena, or contract

Your data will never be sold to third parties.


6. Data Security

We implement appropriate technical, administrative, and physical safeguards to protect your information in accordance with federal security standards (e.g., NIST 800-53). Access is restricted to authorized personnel only.


7. Data Retention

In compliance with federal guidelines, we retain applicant data for a minimum of three (3) years or as otherwise required by applicable law or contract. This includes retention for audit, EEO, OFCCP, or legal defense purposes.

If you are not hired, your information may be retained for future consideration unless you request deletion (subject to retention requirements).
 

8. Your Rights and Choices

Subject to applicable laws, you may have the right to:

  • Access or correct your personal data
  • Request deletion, subject to federal data retention requirements
  • Withdraw consent for data processing (where applicable)
