This Privacy Agreement ("Agreement") describes how Arraya ("Company", "us", "our", or "the Company") collects, uses, and shares personal information of individuals who apply for and/or are hired into positions and interact with employment systems and platforms, including Paylocity.
 

By accepting employment and using Paylocity platform as part the employment process, the undersigned acknowledges and agrees to the collection, use, and disclosure of personal information as described below.
 

1. Information Collected

The following types of personal information may be collected:

  • Contact Information: Name, phone number, physical address, email, username
  • Employment and Educational History: Work experience, education, compensation, skills, languages, licenses, certifications, awards, memberships
  • Reference and Authorization Data: References, work authorization status, background details
  • Online and Device Information: Website and system usage activity, as described in Paylocity’s Cookie Notice
  • Voluntary Information: Preferences regarding employment, willingness to relocate, and desired compensation
  • Social Media Information: Information available through linked social media accounts, if applicable
  • Sensitive Personal Information: As defined by applicable law, including:
  • Race, ethnicity, religion, sex, gender identity, sexual orientation
  • Disability status, medical or health data, veteran status
  • Criminal background
  • Government-issued identifiers (e.g., Social Security number, driver’s license, passport), geolocation, and biometric data
  • Information may also be received from third parties, such as recruiters, background screening providers, or former employers, depending on the stage of employment or application.

2. Use of Information

Personal information may be used for:

  • Reviewing qualifications and suitability for employment
  • Conducting onboarding and background screening
  • Managing employment-related communications and processes
  • Supporting diversity and inclusion efforts
  • Meeting legal or regulatory obligations
  • Performing internal analytics or process improvements using aggregated or de-identified data 

3. Accuracy of Information

Applicants and new hires are responsible for ensuring that all submitted personal information is accurate, complete, and not misleading. Misrepresentation may impact consideration for employment or continued employment.
 

4. Sharing of Information

Personal information may be shared as follows:

  • Vendors and Service Providers: To support functions such as background checks, technology support, data storage, and HR-related services
  • Corporate Affiliates: For internal operational, compliance, or administrative purposes
  • Business Transitions: In the event of a company merger, acquisition, or reorganization
  • Legal Disclosures: As required by law or to protect legal rights, employees, applicants, or property 

5. Retention and Disposal

Personal information is retained only as long as necessary for employment-related purposes or as legally required. Once no longer needed, information is securely deleted, anonymized, or disposed of in accordance with legal and security standards.
 

6. Security

Appropriate organizational, technical, and physical security controls are in place to help protect personal data. However, no data transmission or storage method is guaranteed to be fully secure. Suspected security issues should be reported immediately to privacy@paylocity.com or to the Company’s HR team at hr@arrayasolutions.com.
 

7. California Privacy Rights

California residents have rights under the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA), including:

  • The right to know what personal information is collected, used, or shared
  • The right to request access, correction, or deletion of information
  • The right to limit the use of sensitive personal information

8. International Transfers

For individuals located outside the United States, personal data may be transferred to, processed in, or stored in countries such as the United States. These transfers are conducted in accordance with applicable legal frameworks.
 

9. Updates to This Agreement

This Agreement may be modified periodically. Updates will be made available through Paylocity or internal onboarding systems, and the most recent version will be indicated by the "Last Updated" date above. Continued use of the systems indicates acknowledgment of any updates.
