Purpose of This Notice

This Applicant Privacy Notice explains how Connected Roots Care Center (CRCC) (“CRCC,” “we,” “us,” or “our”) collects, uses, stores, and protects personal information provided by individuals who apply for employment with CRCC. This notice applies to information collected through our recruitment and hiring processes, including information stored in our Human Resources Information System (HRIS), Paylocity.

Information We Collect

As part of the application and hiring process, CRCC may collect personal information, including but not limited to:

  • Identifying information (such as name, address, phone number, and email address)
  • Employment history, education, certifications, and qualifications
  • Resume, cover letter, references, and application responses
  • Voluntary demographic information where permitted by law
  • Information related to eligibility to work in the United States
  • Background check, credential verification, or pre‑employment screening information, when required for the position
  • System‑generated information related to application status and communications

CRCC collects only the information reasonably necessary to evaluate an applicant for employment and to administer the hiring process.

How Applicant Information Is Used

CRCC Human Resources uses applicant information for legitimate business and compliance purposes, including to:

  • Review qualifications and determine suitability for employment
  • Communicate with applicants regarding their application or potential employment
  • Conduct interviews, reference checks, and background checks, as applicable
  • Comply with federal, state, and local employment laws and regulations
  • Maintain accurate recruitment and hiring records
  • Improve CRCC’s hiring and employment practices

Applicant information is not used for marketing, fundraising, or non‑employment‑related purposes.

Use of Paylocity as Our HRIS

CRCC uses Paylocity as its HRIS to securely store and manage applicant information. Paylocity supports recruiting, hiring, recordkeeping, and compliance activities on behalf of CRCC.

Access to applicant information within Paylocity is limited to authorized CRCC personnel who have a business need to review the information as part of the hiring process. Paylocity is contractually required to maintain appropriate safeguards to protect personal information.

Information Sharing

CRCC does not sell applicant personal information.

Applicant information may be shared only as necessary with:

  • CRCC employees involved in recruitment, interviewing, or hiring decisions
  • Paylocity and other service providers that support recruiting, background screening, or HR administration
  • Government agencies or legal authorities when required by law

Service providers are required to use applicant information only for authorized purposes and to protect it in accordance with applicable privacy and security requirements.

Data Retention

Applicant information is retained in Paylocity and CRCC systems in accordance with CRCC’s record retention practices and applicable federal and Nebraska laws. Information may be retained after the conclusion of the hiring process for legal, regulatory, audit, or business purposes.

Data Security

CRCC takes reasonable administrative, technical, and physical measures to protect applicant information from unauthorized access, use, or disclosure. While no system can be guaranteed to be completely secure, CRCC works with Paylocity and other vendors to apply safeguards appropriate to the nature of the information.

Applicant Rights

Applicants may request to:

  • Access or update their personal information
  • Withdraw their application from consideration
  • Ask questions about how their information is used or stored

Requests may be subject to verification and applicable legal limitations.

Changes to This Notice

CRCC may update this Applicant Privacy Notice from time to time. The most current version will be made available through CRCC’s application process or upon request.
