Communication Privacy Policy

Vantedge Medical and its subsidiaries ("we," "us," or "our") respects your privacy and is committed to complying with applicable privacy laws, including the California Consumer Privacy Act (CCPA/CPRA), the Connecticut Data Privacy Act (CTDPA), the Illinois Biometric Information Privacy Act (BIPA, if applicable), and New Hampshire’s communication and privacy laws.


This policy describes how we collect, use, and protect personal information when communicating with job candidates via SMS/text messages using our HRIS system, Paylocity.

 

1. Information We Collect

We may collect the following information from you during the recruitment process:

  • Name
  • Mobile phone number
  • Email address
  • Location  (e.g., state of residence)
  • Employment and education history
  • Resume or other professional information
  • Any other information you voluntarily provide

We do not collect sensitive personal data such as biometric data unless explicitly required and disclosed (e.g., for ID verification in compliance-heavy industries).

 

2. Use of Text Messaging

We may use your mobile number to send you SMS/text messages related to:

  • Job application updates
  • Interview scheduling
  • Confirmation or reminder notices
  • Notifications of future relevant job opportunities

We will only use your information for these purposes with your express opt-in consent and in compliance with federal and state telecommunication laws.

 

3. Consent and Opt-Out Rights

By providing your mobile phone number, you:

  • Consent to receive recruitment-related text messages from us via Paylocity
  • Acknowledge that message/data rates may apply depending on your carrier
  • Have the right to opt out at any time by replying STOP to any message or by contacting us

California and Connecticut Residents:
You have the right to limit the use of your personal information for secondary purposes. We do not sell or share your data for marketing. We honor all opt-out requests as required by CCPA/CPRA and CTDPA.


New Hampshire Residents:
We will not record or monitor any communication without both parties’ consent, as required by state law.

 

4. Data Sharing and Disclosure

We do not sell or rent candidate data. Your information may be shared only with:

  • Authorized internal personnel (HR, hiring managers)
  • Paylocity (our HRIS provider), under a strict data processing agreement
  • Legal or regulatory bodies when required to comply with the law

 

5. Your Privacy Rights by State


California Residents (CCPA/CPRA):
 

You have the right to:

  • Know what personal data we collect
  • Request deletion of your data
  • Opt out of sale or sharing (we do not sell/share for profit)
  • Correct inaccurate data
  • Limit use of sensitive personal data (not collected here)

Connecticut Residents (CTDPA):
  You have similar rights as under the CCPA. You may also:

  • Appeal a denial of your privacy request within 60 days

Illinois Residents:
  We do not collect biometric information at this stage. If we do in the future (e.g., facial recognition, fingerprinting), we will provide written notice and obtain informed written consent in accordance with the Illinois Biometric Information Privacy Act (BIPA).


New Hampshire Residents:
  We ensure compliance with the state’s two-party consent laws for electronic communications. We do not record or eavesdrop on any messaging communication without prior consent.

 

6. Data Security

We maintain administrative, technical, and physical safeguards to protect your personal information, including:

  • Role-based access control
  • Secure encryption of communications via Paylocity
  • Audit logging and regular system reviews

 7. Data Retention

We retain candidate information only for as long as needed to fulfill recruitment and legal purposes. If you are not hired, we may retain your information for up to [X months/years] unless you request deletion earlier.
