JORGENSEN (“we,” “us,” or “our”) is committed to protecting the privacy and personal data of our employees, applicants, and contractors. This Workforce Privacy Policy outlines how we collect, use, store, and disclose personal information about our workforce, including employees, contractors, job applicants, interns, temporary workers, independent contracts, consultants, and job candidates (“you” or “Workforce”) throughout the employment lifecycle—from recruitment to separation—in accordance with applicable federal and Ohio state laws.

We may collect, store, and use various types of personal data about our Workforce. We collect this information through our application, recruitment, employment, or engagement processes, either directly from you or (where applicable) from another person or entity, such as an employment agency or consulting firm, recruitment or professional networking website, or other representative or individual who may provide references for prospective applicants. We may collect additional personal data throughout the course of your employment or application process, and the kind and amount of information we may hold about you depends on your role with us, or the position you are applying for, and includes but is not limited to: 

 

Identification and Contact Information

  • Full name, mailing address, phone number, email, date of birth, social security number, driver's license or other ID

Employment and Education History

  • Resume/CV, job applications, interview notes, references, qualifications, licenses, prior work history, and compensation 

Employment Details

  • Job title, department, employee ID, work location, compensation, benefits selections, tax, and payroll data

Performance and Disciplinary Information

  • Evaluations, disciplinary records, attendance, promotions, training records, and professional development

Payroll and Benefits Information

  • Bank account details (for direct deposit), tax withholding information, benefits enrollment, and dependent data

Health and Safety Data

  • Medical certificates, disability status, workers’ compensation claims, COVID-19 vaccination status (if collected), leave requests (FMLA, sick leave)

Background and Screening Information

  • Criminal background checks, drug screenings, and employment verification (where legally permitted and with consent)

Technology and Systems Usage

  • Email and internet usage, IP addresses, device identifiers, login history, access control logs, timekeeping data

Security and Surveillance Data

  • Badge access logs, CCTV footage (where applicable), and incident reports

Optional and Voluntary Data

Purposes of Data Collection and Use

We collect and use personal information for purposes including but not limited to:

 

  • Recruitment, hiring, and onboarding: including assignment planning and budgeting, job advertising, interviewing, background checking as permitted by law, and selecting and engaging individuals to join our team.
  • Workforce management and administration: including payroll processing, timekeeping, training administration, compensation and benefits, succession planning, handling complaints, grievances, disciplinary procedures, and performance management.
  • Legal and regulatory compliance: complying with any state or federal legal, regulatory, and fiscal obligations such as tax, social security and legal reporting obligations, via and immigration status, reporting to governmental agencies, dealing with litigation and other proceedings and claims, responding to and cooperating with legal or regulatory requests and investigations, participating in due diligence activities for the sale, purchase, or reorganization of our business or a part of it, investigating and preventing fraud and other illegal activity, ensuring compliance with policies, guidelines and contracts.
  • Communications with our Workforce: including updates and other changes.
  • Security management: To help maintain the safety, security, and integrity of our network, systems, technology assets, business, premises, customers, and other members of our Workforce.
  • Matters relating and/or incidental to the items above: including but not limited to health and safety management, training and development, business continuity and succession planning, internal audits and investigations, handling workplace disputes or claims. 
  • As described to you when collecting your personal data or as otherwise permitted under applicable law. 

 

We do not process your personal data in ways incompatible with these purposes without providing additional notice or obtaining consent where required.


 

Sharing of Personal Information
     We may share your data with:

  • Compensation and benefit providers, 
  • Payroll service providers,
  • Tax and other professional advisors,
  • Technology service providers, 
  • Corporate card issuers,
  • HR management and administration suppliers,
  • Recruiting agencies and temporary employment agencies,

We do not sell employee personal information to any third parties. Data Retention


 

We will keep your personal data for as long as is necessary to fulfill the purposes we collected it for, including for the purpose of satisfying legal, accounting, and reporting requirements.  To determine the appropriate retention period for workforce personal information, we consider the amount, nature and sensitivity of the information, the potential risk of harm from unauthorized use or disclosure of the personal information, the purposes for which we process the personal information and whether we can achieve those purposes in other ways, the applicable legal requirements and our reasonable internal purposes.  For example, we will keep certain information about former employees (e.g., name, job title, work location, organizational hierarchy, dates of employment) for as long as necessary for our reasonable internal purposes of keeping this information as part of our organizational history and to confirm the facts of their employment with us.


 

Data Security

We use commercially reasonable administrative, technical, and physical safeguards to protect your personal data from unauthorized access, disclosure, loss, or destruction. These include access controls, encryption, secure servers, and employee privacy training.


 

Technology Use

We may monitor the use of company systems, networks, and devices to ensure proper use, maintain security, and protect our assets. Monitoring may include access logs, network activity, and surveillance footage in the workplace, consistent with applicable laws.
