Community Health Action of Staten Island (“CHASI,” “we,” “our,” or “us”) is committed to protecting the personal information of applicants and candidates. This Recruitment Privacy Policy describes how we collect, use, store, and share personal data provided by applicants through our careers page and hiring process.
 

1. Information We Collect

When you apply for a position, we may collect:

  • Identification & Contact Info: Name, address, phone number, email
  • Application Materials: Resume/CV, cover letter, work history, education history
  • Voluntary Demographic Data: Race, ethnicity, gender, veteran status, disability status (collected for EEO compliance and reporting; not used in hiring decisions. NOTE: This information cannot be viewed by any CHASI employees unless you are hired)
  • Interview Notes and evaluation feedback
  • Employment Eligibility Information, where required
  • Background Check Information, only after a conditional job offer has been extended

2. How We Use Your Information

We use your personal data to:

  • Assess your qualifications and suitability for the role
  • Contact you during the recruitment process
  • Comply with legal obligations, including equal opportunity reporting
  • Maintain internal hiring and talent analytics
  • If hired, transfer your information to onboarding and HR systems

3. Voluntary Demographic Information

We may request demographic information (e.g., race, gender, veteran status, disability status) on a voluntary basis. This information:

  • Is used solely for compliance with the Equal Employment Opportunity Commission (EEOC); Office of Federal Contract Compliance Programs (OFCCP); other federal, state, local, or other reporting requirements; or internal diversity metrics
  • Is not used in the hiring decision process
  • Is stored separately and securely and cannot be viewed by any CHASI employees until the information is moved into an employee profile after a candidate is hired

4. Background Checks

If the role requires a background check, we will:

  • Notify you and request written consent after a contingent job offer is made
  • Conduct the check in accordance with the Fair Credit Reporting Act (FCRA) and applicable state laws
  • Provide you with a copy of the report and an opportunity to dispute any inaccuracies if applicable

5. Data Sharing

We may share your information with:

  • Internal HR, recruiters, and hiring managers
  • Third-party service providers (e.g., background check vendors)
  • Government or regulatory authorities, as required by law
  • We do not sell or rent your personal information.

6. Data Retention

We retain applicant data for as long as the system will store it or as required by law. You may request deletion of your data unless we are legally obligated to retain it.

We use reasonable administrative, technical, and organizational security measures to protect your personal data.

  • New York Labor Law §194-a, which prohibits asking about salary history during hiring
  • Fair Credit Reporting Act (FCRA) for background check procedures
  • EEOC and OFCCP regulations regarding voluntary demographic reporting
  • Americans with Disabilities Act (ADA) and other non-discrimination laws

We do not use any automated tools to screen candidates.
