Sunnyside Communities is committed to protecting the privacy of individuals who apply for employment within our organization. This Privacy Policy describes how we collect, use, share, and protect personal information throughout the recruitment, hiring, and onboarding process. In addition, this policy explains rights under applicable data protection laws.

 

Information We Collect

When you apply for a position with Sunnyside Communities, we may collect the following: 

  • Identification and contact details such as your name, phone number, email address, and postal address
  • Employment-related information, including but not limited to your resume/CV, cover letter, work history, education, certifications, and licensure verification 
  • Demographic information such as gender, race/ethnicity, disability status, veteran status, or other voluntary self-identification data. This information is typically collected on an optional basis and is used in accordance with applicable equal opportunity and anti-discrimination laws. ** Submission of demographic information is entirely voluntary, and choosing not to provide this information will not impact your application
  • Assessment data (including, but not limited to, application or interview notes/feedback, test results, technical evaluations, reference feedback, and/or employment verification)
  • Background check and references, where applicable, and with your consent 
  • Work eligibility and visa status
  • Communication methods with our recruitment team
  • Legal obligations, such as screener questions, background check results, must comply with regulatory requirements mandated by the Virginia Department of Social Services for assisted living facilities (ALF) and adult day centers
  • Contractual necessity to take steps before entering into a potential employment agreement
  • Consent when required for specific data or background checks

This information may be collected directly from you or through third parties such as job boards, recruitment platforms, professional networks (e.g., LinkedIn, Indeed), or employee referrals.

 

How We Use Your Information

We collect this information to:

  • Evaluate your qualifications for employment opportunities
  • Contact you during the recruitment process and/or onboarding process 
  • Schedule and conduct interviews or assessments
  • Analyze recruitment metrics and support our commitment to equal opportunity, diversity, equity, and inclusion 
  • Comply with applicable federal or state reporting obligations (Equal Employment Opportunity Commission (EEOC) regulations in the U.S.)
  • Verify information and conduct background checks (where applicable, and with      consent)
  • Comply with applicable employment, labor, and immigration laws
  • Improve our hiring practices and diversity efforts

 Confidentiality of Candidate Information

Sunnyside Communities does not disclose the application status or progress of any candidate to other applicants, internal employees, or employee referrers (including family members). This includes employees who may have referred you for a role. Your candidacy and related details are treated with strict confidentiality and shared only with individuals directly involved in the hiring process.

 

Use of Information for Regulatory Requirements

At Sunnyside Communities, the safety and well-being of our residents and team members are our top priority. As part of our hiring process, we responsibly share and collect candidate information with select third parties and internal personnel to ensure a safe, qualified, and compliant workforce. This includes working with trusted organizations to conduct background checks, assessments, and verifications necessary for maintaining the high standards of care and safety expected within our community. We may share your information with the following parties:

  • Internal hiring personnel including Human Resources, recruiters, hiring managers, and/or interview panel participants (as appropriate)
  • Background check and assessment vendors, which may include:                                             
    • Partnership Screening International (PSI)
    • Virginia State Police (VSP)
    • National Sex Offender Registry (NSOPW.gov)
    • Office of Inspector General (OIG)
    • Trident National Corporation
    • PPD results collected by Sunnyside's in-house clinic team or designated clinical staff
  • Authorized third-party service providers that support our recruitment systems and processes
  • Legal or governmental authorities, when disclosure is required by law or regulation 
  • We do not sell your personal information

Data Retention

We retain your personal information only for as long as necessary to fulfill the purposes described in this policy or to comply with legal and regulatory obligations.

If you are not selected for a position, we may keep your information for a limited period in order to consider you for future opportunities. We may also duplicate your application materials internally, or an HR representative may contact you directly if you appear to be qualified for other openings or roles that may be a better fit based on your experience and qualifications.

You may request deletion of your information at any time, subject to applicable legal or regulatory retention requirements.

 

Security Measures

Sunnyside Communities uses reasonable technical and organizational measures to protect your personal information from unauthorized access, use, or disclosure.

 

Changes to This Policy
We may update this Privacy Policy periodically to reflect changes in our practices or legal obligations. Updates will be posted on this page with an updated effective date.
