APPLICANT PRIVACY NOTICE

SeaView Community Services (“SeaView,” “we,” “us,” or “our”) respects the privacy of job applicants. This Applicant Privacy Notice explains how we collect, use, disclose, retain, and protect personal information submitted through our recruiting process, including information submitted through the Paylocity recruiting platform.
This notice applies to individuals who apply for employment, internships, volunteer positions, or other work opportunities with SeaView. It also applies to individuals whom SeaView considers for employment or who provide information in connection with SeaView’s recruiting and hiring activities.
This notice does not apply to personal information collected after an individual becomes a SeaView employee. Employee information is governed by SeaView’s employment policies and other applicable notices.
Depending on the position and stage of the recruiting process, SeaView may collect the following categories of personal information:
• Contact information, including name, address, email address, and telephone number.
• Application information, including résumés, cover letters, employment history, education, training, professional qualifications, licenses, certifications, skills, references, and salary expectations.
• Account and technical information, including login information, internet protocol address, browser information, device information, and activity within the recruiting platform.
• Work eligibility information, including authorization to work in the United States and whether employment sponsorship may be required.
• Professional information, including professional memberships, disciplinary history relevant to professional licensure, and information needed to verify licenses or credentials.
• Information obtained from references, former employers, recruiters, professional licensing authorities, publicly available sources, and other lawful sources.
• Background-screening information, where permitted by law, including criminal history, driving history, employment verification, education verification, exclusion-list screening, and other information relevant to the position.
• Post-offer information, when applicable, including information necessary for occupational health screening, drug testing, accommodation requests, or determining an applicant’s ability to perform the essential functions of a position.
• Voluntary demographic information, including race, ethnicity, sex, disability status, and veteran status, when collected for equal employment opportunity reporting or similar lawful purposes. This information is maintained separately when required and is not used to unlawfully discriminate in hiring decisions.
• Other information that an applicant voluntarily provides during the application, interview, or hiring process.
Please do not provide medical information, genetic information, family medical history, or other sensitive information unless SeaView specifically requests it for a lawful purpose.
SeaView may collect applicant information:
• Directly from you through Paylocity, email, interviews, forms, or other communications;
• From recruiters, references, former employers, educational institutions, licensing authorities, and credentialing organizations;
• From background-screening providers after any legally required notice and authorization;
• From publicly available professional sources; and
• Automatically through Paylocity or other recruiting technologies.
SeaView may use applicant information to:
• Receive and process employment applications;
• Evaluate qualifications, experience, skills, and suitability for employment;
• Communicate with applicants about applications, interviews, employment opportunities, and the recruiting process;
• Schedule and conduct interviews;
• Verify employment history, education, references, licenses, certifications, and other qualifications;
• Conduct legally permitted background checks and screenings;
• Determine eligibility to work in the United States;
• Consider applicants for current or future employment opportunities;
• Provide reasonable accommodations during the application and interview process;
• Support workforce planning, recruiting analysis, and improvement of hiring practices;
• Protect SeaView, its clients, employees, property, information systems, and legal rights;
• Investigate suspected fraud, misconduct, security incidents, or violations of law or policy; and
• Comply with employment, equal opportunity, licensing, healthcare, grant, contractual, reporting, and other legal obligations.
SeaView is an equal opportunity employer and does not use applicant information to discriminate unlawfully.
SeaView may disclose applicant information to:
• Employees involved in recruiting, interviewing, hiring, human resources, compliance, information technology, and organizational leadership;
• Paylocity and other vendors that provide recruiting, technology, communications, document-management, credentialing, or related services;
• Background-screening, drug-testing, occupational-health, licensing, and credential-verification providers, when applicable and legally permitted;
• Professional advisors, including attorneys, auditors, insurers, and consultants;
• Government agencies, regulators, licensing bodies, courts, law enforcement agencies, or other parties when disclosure is required or permitted by law;
• Parties involved in an organizational restructuring, merger, financing, transfer, or similar transaction; and
• Other parties when you direct or authorize SeaView to make the disclosure.
SeaView does not sell applicants’ personal information or disclose it for cross-context behavioral advertising.
Service providers receiving applicant information are expected to use the information only for authorized purposes and to maintain appropriate safeguards.
SeaView uses Paylocity to support its recruiting and applicant-tracking activities. Information submitted through the recruiting portal may be stored and processed by Paylocity on SeaView’s behalf. Paylocity may also collect technical information associated with your use of its platform.
Paylocity’s handling of information is also subject to its applicable privacy statements, security practices, and terms. Questions concerning SeaView’s hiring decisions or SeaView’s use of applicant information should be directed to SeaView’s Human Resources Department.
If SeaView obtains a consumer report or investigative consumer report from a third-party screening company, SeaView will provide any separate disclosures and obtain any authorizations required by the Fair Credit Reporting Act and other applicable laws.
When required, SeaView will also follow applicable pre-adverse-action and adverse-action procedures before making a final employment decision based in whole or in part on information contained in a consumer report.
This Applicant Privacy Notice is not intended to serve as the legally required stand-alone background-check disclosure or authorization.
SeaView retains applicant information for as long as reasonably necessary to complete the recruiting process, consider an applicant for other appropriate opportunities, satisfy recordkeeping obligations, respond to disputes or legal claims, and fulfill other legitimate organizational purposes.
Application and hiring records will generally be retained for at least the period required by applicable employment laws. Records may be retained longer when:
• The applicant is hired;
• The applicant asks to be considered for future opportunities;
• A complaint, investigation, audit, litigation hold, or legal proceeding is pending;
• A grant, contract, licensing requirement, or other law requires a longer period; or
• Continued retention is otherwise reasonably necessary for a legitimate organizational purpose.
When information is no longer needed, SeaView will securely delete, destroy, or de-identify it in accordance with its record-retention practices.
SeaView uses reasonable administrative, technical, and physical safeguards designed to protect applicant information against unauthorized access, loss, misuse, alteration, or disclosure. However, no electronic system or transmission method can be guaranteed to be completely secure.
Applicants should protect their recruiting-platform credentials and promptly notify SeaView if they believe their information or account may have been compromised.
Subject to applicable law, an applicant may contact SeaView to:
• Request access to personal information maintained about the applicant;
• Request correction of inaccurate or incomplete information;
• Ask that an application be withdrawn;
• Request deletion of information that SeaView is not legally or operationally required to retain; or
• Ask questions about SeaView’s privacy practices.
SeaView may need to verify the requester’s identity before responding. Some requests may be limited or denied when SeaView must retain information to satisfy legal, regulatory, contractual, security, or recordkeeping requirements.
SeaView will not unlawfully discriminate or retaliate against an applicant for making a good-faith privacy request.
SeaView’s recruiting portal is not intended for individuals who are not legally eligible to work. SeaView does not knowingly collect application information from children except where legally permitted for an authorized employment or internship opportunity and with any consent required by law.
SeaView may update this notice when its recruiting practices, technology, or legal obligations change. The current version will be posted through the recruiting portal with a revised effective date. The version in effect when information is collected will govern SeaView’s handling of that information, except where a later change is required by law.
