RECRUITING PRIVACY POLICY 

Spectrio LLC (Spectrio) is committed to protecting the privacy and confidentiality of personal information collected from candidates during the recruitment and hiring process. This Recruiting Privacy Policy outlines the types of information we collect, how that information is used and shared, and the measures we take to ensure its protection. This policy applies to all individuals who apply for a position with Spectrio through our applicant tracking system and related platforms, such as Paylocity. 

COLLECTION OF PERSONAL INFORMATION

During the recruitment process, Spectrio has a legitimate interest as a potential employer to collect a range of personal information from candidates with the candidates consent for receipt and processing of such personal information is freely given and informed during the application process. This may include, but is not limited to, contact information such as name, email address, and telephone number; employment history and educational background as provided in a resume or curriculum vitae; responses to application questions; professional references; and any other information provided voluntarily during the application, interview, or selection process. In some cases, we may also collect information necessary for background checks, subject to applicable laws and with prior notice to the candidate.

The source of such personal information may be received from the following:  directly from the applicant (e.g. application forms, interviews, etc.), recruitment agencies or headhunters, professional social media platforms (e.g. LinkedIn), references provided by the applicant, background check providers, or publicly available sources (e.g. online portfolios).

USE OF PERSONAL INFORMATION

The personal information collected is used solely for the purposes of evaluating a candidate’s qualifications, communicating regarding the status of an application, coordinating interviews, conducting assessments, and making employment-related decisions or maintaining records related to hiring processes. Spectrio may also use this information to comply with legal obligations, respond to regulatory inquiries, protect the company’s legal interests and improve the efficiency and effectiveness of our hiring processes.

SHARING OF INFORMATION

Access to candidate information is limited to individuals within Spectrio who are involved in the recruitment and hiring process, including members of the People Operations team, hiring managers, and relevant stakeholders. In some instances, we may share information with third-party service providers who support our hiring efforts, such as background check vendors or technology providers, including Paylocity. These third parties are contractually obligated to maintain the confidentiality and security of any personal information shared with them. Spectrio does not sell or rent candidate information to any third parties for marketing or other commercial purposes.

DATA AND SECURITY RETENTION

Spectrio takes data security seriously and has implemented appropriate technical and organizational measures through access controls, firewalls, etc. to protect the personal information of candidates against unauthorized access, disclosure, alteration, or destruction. Personal information is retained for successful candidates as part of their personnel record and unsuccessful candidates for a period of 12 months after the recruitment process is completed, unless a longer retention period is required by law or necessary to resolve disputes or enforce our agreements.

CANDIDATE RIGHTS

Depending on your jurisdiction, you may have rights under applicable data protection laws to know what personal information is collected, used shared or sold, request access to or receive in a machine readable format, correction of, or deletion or withdrawal of your personal information, as well as the right not to be discriminated against for exercising your privacy rights.
