We collect only information that is reasonably necessary for evaluating your candidacy and fulfilling legal or regulatory requirements.

We do not sell applicant personal information.

Heartland processes applicant data in accordance with applicable U.S. federal and state laws, and where relevant, international privacy laws. Our legal basis for processing may include:

  • Performance of steps necessary prior to entering an employment relationship 

4. Data Sharing


We may share applicant information only with:

  • Authorized Heartland leadership and hiring managers 
  • Human Resources personnel 
  • Service providers assisting in recruiting functions (e.g., Paylocity ATS platform) 
  • Background check providers (if applicable and authorized) 
  • Government agencies when required by law 

All third-party service providers are required to safeguard your information and use it only for authorized business purposes.


5. Data Retention


We retain applicant information for as long as necessary to:

  • Complete the recruiting process 
  • Comply with federal and state recordkeeping requirements 
  • Maintain lawful documentation for Equal Employment Opportunity compliance 

If you are hired, your information will become part of your personnel record. If you are not hired, we may retain your information for future opportunities unless you request deletion, subject to legal retention obligations.


6. Data Security


Heartland takes data protection seriously. We implement reasonable administrative, technical, and physical safeguards to protect applicant information from unauthorized access, disclosure, alteration, or destruction. Access to applicant data is limited to individuals with a legitimate business need. While no electronic system can guarantee absolute security, we continuously review and maintain safeguards to protect your information.


7. Your Rights


Depending on your jurisdiction, you may have certain rights regarding your personal information, including:

  • The right to request access to your personal data 
  • The right to request correction of inaccurate information 
  • The right to request deletion (subject to legal retention requirements)
