This Policy does not in any way constitute an employment agreement or an offer of employment.

1. When you apply for a position with the Bank, we may collect the following categories of personal information:
a. Identifying Information: Name, address, phone number, and email address.
b. Employment and Education History: Resume, previous employers, job titles, dates of employment, schools attended, degrees earned.
c. Job Preferences and Qualifications: Desired position, availability, skills, certifications, languages spoken.
d. Other Information: Any additional information you choose to submit during the application process.
2. If you are considered for employment, additional personal information will be collected during the onboarding process. This information is collected solely for lawful employment-related purposes and may include:
a. Background Check Information: This may include criminal history, credit history, education and employment verification, and any other screenings authorized by you in accordance with federal and state law.
b. Social Security Number (SSN): Required for payroll processing, tax reporting, employment eligibility verification (Form I-9), and background checks, as permitted under 26 M.R.S. § 598-A.
c. Date of Birth: Collected as part of the background check process and to verify identity in employment records.
d. Legal Gender: Collected for equal employment opportunity reporting and HR compliance.
e. Voluntary Self-Identification Data: This information is collected in compliance with federal reporting obligations (e.g., OFCCP, EEO-1) and will not be used in hiring decisions. You may be asked to voluntarily disclose information regarding:
i. Veteran status
ii. Disability status
iii. Ethnicity/Race
3. Your personal information may be used for the purposes of:
a. Processing and evaluating your job application.
b. Contacting you about your application or future opportunities.
c. Verifying your qualifications and background.
d. Complying with legal and regulatory obligations.
4. We collect your information:
a. Directly from you when you fill out our application form or submit materials through our careers page or through an in-person interview.
b. Through our third-party applicant tracking provider, Paylocity, who processes applications on our behalf.
c. From third parties, such as prior employers, educational institutions, or background check providers (with your authorization).
5. We do not sell your personal information. All third parties are obligated to protect your information and use it only for the intended purposes. We may share your information with:
a. Paylocity: Our third-party recruitment platform provider, only to the extent necessary to manage your application.
b. Checkr: Our third-party background check processor.
c. Government Authorities: When required by law, regulation, or legal process.
d. Internal Stakeholders: HR personnel and relevant hiring managers within the Bank.
6. We may retain your information for as long as necessary to:
a. Fulfill the purposes described above.
b. Comply with applicable laws.
c. Maintain a record of your application and our hiring practices.
7. We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, disclosure, or misuse. This includes using secure servers, encryption, and limiting access to your data on a need-to-know basis.
8. As a Maine employer, we adhere to the following state-specific requirements:
a. Social Security Number Restrictions: We do not request your Social Security number during the application process, except as required for pre-employment background checks. This complies with 26 M.R.S. § 598-A.
b. Fair Chance Employment: We do not inquire about your criminal history on the initial application. Such inquiries are made only after you have been determined otherwise qualified for the position, in accordance with 26 M.R.S. § 599.
c. Pay History Inquiry Ban: We do not ask about your prior pay history during the application process, as per Maine's pay equity law.
d. Nondisclosure Agreements: Any confidentiality provisions in our employment agreements do not waive or limit your right to report or discuss unlawful employment discrimination, as required by 26 M.R.S. § 599-C.
9. We may update this Policy from time to time. The updated version will be posted on our website and will be effective upon posting.
