This Job Applicant Privacy Notice (“Notice”) describes how Storage Star Management, LLC (“Storage Star,” “we,” “us,” or “our”) collects, uses, and shares personal information about individuals who apply for employment with us, including through our online career site, applicant tracking system, job boards, staffing or recruiting partners, or in person. This Notice applies to job applicants and candidates for employment with Storage Star nationwide. It does not apply to our current or former employees, whose information is addressed in separate internal policies, or to our customers and website visitors generally, whose information is addressed in our general Privacy Policy.
Because we recruit and hire across the United States, this Notice is designed to meet the requirements of the strictest state privacy law that applies to our workforce — the California Consumer Privacy Act of 2018, as amended by the California Privacy Rights Act of 2020 (together, “CCPA”) — and we apply these practices and rights consistently to job applicants nationwide, regardless of the state in which you reside or apply.
When you apply for a position with Storage Star, we may collect the following categories of information from and about you in order to evaluate and process your application:
• Contact information, such as your name, mailing address, email address, and phone number;
• Application materials, including your resume or CV, cover letter, work history, compensation history (where lawful to collect and consider), education, degrees, and language and other skills;
• Professional and other work-related licenses, permits, and certifications (for example, licenses relevant to property or facility management roles);
• Driving history or motor vehicle records, if the position requires driving;
• Work authorization status and information needed to verify your eligibility to work in the United States;
• Information relating to references and prior employment, including from the individuals or organizations you identify as references;
• Information from your use of our careers website, such as device and browser information, IP address, and cookies (see Section 5, “Cookies and Other Tracking Technologies”);
• Information from social media or professional networking sites, if you choose to link your application to such a profile or if you are sourced through such a platform (for example, LinkedIn or a job board);
• Background check results, obtained through a third-party consumer reporting agency, if you receive a conditional offer of employment (see Section 7, “Background Checks”);
• Voluntary equal employment opportunity (EEO) self-identification information, such as race/ethnicity, gender, veteran status, and disability status, which you are never required to provide and which is used only for compliance and reporting purposes, kept separate from hiring decisions to the extent required by law; and
• Any other information you choose to provide to us, such as employment preferences, willingness to relocate, or desired salary.
Certain categories of information we may collect are considered “sensitive personal information” under the CCPA and other applicable laws. This includes: Social Security number; driver’s license, state identification card, or passport number; precise geolocation; racial or ethnic origin; religious or philosophical beliefs; citizenship or immigration status; genetic or biometric information used to uniquely identify an individual; health or medical information (including disability status); sex life or sexual orientation; and account log-in credentials in combination with a password or security code. We collect sensitive personal information only where necessary to evaluate your application, verify your eligibility to work, conduct legally permitted background checks, and comply with our recordkeeping obligations, or where you choose to provide it voluntarily (such as EEO self-identification data).
Depending on the stage of your application, we may also obtain information about you from third parties, such as our applicant tracking system provider, staffing or recruiting partners, professional references, prior employers, our background check provider, and, where lawful, government or public sources (for example, to verify a professional license or driving record).
We use the information collected during the application process for recruitment, hiring, and workforce planning purposes, including to:
• Evaluate your qualifications for the position you applied for and for other open positions that may match your background;
• Communicate with you regarding your application, respond to your inquiries, and notify you of other job opportunities;
• Verify your identity, work authorization, and credentials;
• Conduct background, criminal history, and employment or education verification checks, where permitted by law and typically after a conditional offer of employment;
• Support our efforts to build and maintain a diverse workforce, using aggregated or de-identified EEO data;
• Administer and improve our recruiting process and careers website; and
• Comply with, and monitor our compliance with, applicable employment, labor, and recordkeeping laws and regulations.
We do not use applicant personal information for cross-context behavioral advertising, and we do not sell your personal information.
As of the date of this Notice, Storage Star does not use automated decision-making technology or artificial intelligence tools to make, or substantially assist in making, hiring decisions without meaningful human review. If we adopt such tools in the future — for example, automated resume screening or ranking, chatbots, or automated analysis of recorded interviews — we will update this Notice and provide any additional notice, consent, or opt-out rights required by applicable law, which may include laws such as New York City’s Local Law 144, the Illinois Artificial Intelligence Video Interview Act, or similar state and local requirements.
You are responsible for the information you provide to Storage Star and for ensuring that it is honest, truthful, accurate, and not misleading. Providing false or materially incomplete information in connection with your application may result in your application being rejected or, if discovered after hire, in termination of employment.
We may share your information in the following circumstances:
• Service Providers. We share information with vendors that perform services on our behalf, such as our applicant tracking system provider, our background check provider, and IT hosting and communications providers.
• Affiliates. We may share information with companies that we own or control, that own or control us, or that are under common ownership or control, for legitimate business purposes related to hiring.
• Business Transitions. If Storage Star, or any portion of its assets, is acquired by, merged with, or transferred to another company, we may share your information with that company or other parties involved in the transaction. We cannot guarantee that an acquiring or merged entity will follow the same privacy practices described in this Notice.
• Legal and Safety. We may disclose information where necessary to comply with applicable law, to respond to law enforcement or government requests, to protect the rights, property, or safety of Storage Star, our employees, applicants, or others, or in connection with an emergency.
Our careers website may use cookies and similar technologies to operate the site, remember your preferences, and understand how applicants use our application process. You can control cookies through your browser settings; disabling cookies may affect your ability to complete an online application.
If you receive a conditional offer of employment, Storage Star may conduct a background check through a third-party consumer reporting agency, which may include criminal history, employment and education verification, and, where applicable to the role, driving records. Before doing so, our background check provider will give you a separate disclosure and obtain your written authorization, as required under the federal Fair Credit Reporting Act (FCRA) and applicable state and local law. If we take an adverse action based in whole or in part on information in a background check report, we will provide you with a pre-adverse action notice (including a copy of the report and a summary of your rights) and, following an appropriate waiting period, a final adverse action notice, as required by law.
We retain applicant information for no longer than reasonably necessary to fulfill the purposes described in this Notice, including to consider you for future openings, to comply with recordkeeping obligations under federal and state law (which may require retention of application records for one to four years, depending on the jurisdiction and type of record), and to defend against legal claims. When we no longer need your information, we dispose of it securely, whether by physically or electronically deleting it or by rendering it anonymous.
We maintain reasonable organizational, technical, and physical safeguards designed to protect the confidentiality, integrity, and availability of the personal information entrusted to us. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security. If you believe your interaction with us is no longer secure, please contact us immediately using the information in Section 12.
Under the CCPA, California residents are entitled to be informed, at or before the point of collection, about the categories of personal information we collect, the purposes for which we use it, whether it is sold or shared, and how long we retain it.
