Prince George’s Community Federal Credit Union has provided this Privacy Policy to explain the following:

“Personal data” refers to any information about you from which you can be identified, as well as general, anonymous information that distinctly or cumulatively can be related to you.
This Policy applies regardless of how far you progress through the hiring process; whether your status is applicant, employee, contractor, or vendor/worker. The Policy covers all materials you may submit in furtherance of your employment application, such as your resume, CV, cover letter, application form, background check authorization, etc., whether submitted electronically through our third party applicant tracking system, or via email, traditional mail, hand delivered, or sent to us by a third party recruitment agency or online recruitment platform.
The personal data about you that we will collect, store, and use most commonly includes your full name, email address, phone numbers, residential or mailing address, your educational and employment history, your skills, qualifications and experience. In some circumstances, we may also collect, store and use your social security number, your date of birth, and your veteran status; as well as information about your race or ethnicity, your credit history, your health or disability status, and any criminal convictions or offenses you may have on your record.
Prince George’s Community Federal Credit Union collects this information for the purpose of employee recruitment and does not sell the personal data we collect. We don’t use any personal data for any purpose other than what is described in this Policy.
We collect your personal data from the following sources:
· The information you submit as part of your employment application;
· The information you disclose to us during any interviews or other direct communications; and
· Objective third party sources you consent for us to access.
We may also collect personal data about you from indirect sources such as recruitment agencies or representatives, your personal and professional references, third party recruitment platforms such as LinkedIn or Indeed, and from other public sources such as the Internet and social media.
Your personal data will enable us to do the following:
· Communicate with you about the recruitment process;
· Evaluate your qualifications for the position you applied for, and your suitability for employment;
· Carry out a check of your background, your credit history, and your references;
· Keep records related to our recruitment processes;
· Demonstrate compliance with any legal or regulatory requirements, such as wage transparency;
· Respond to any request you submit to exercise your privacy rights;
· Create your employment record; and
· Perform analytics or regulatory reporting
There are valid legal bases for these uses. Using your personal data serves the legitimate business interests of Prince George’s Community Federal Credit Union to employ qualified and dependable individuals who demonstrate professionalism, moral integrity, and financial responsibility. It is also necessary for Prince George’s Community Federal Credit Union to comply with labor laws and regulations such as employment record retention, wage and hour laws, and employment reporting and analytics.
Opting Out
You have the right to decline to provide us with your personal data. However, if you decline to provide personal data that is necessary for us to evaluate your application for employment, perhaps by declining to consent to a background investigation or failing to provide references, we will not be able to consider your application any further, which will effectively foreclose the employment opportunity. You will be considered to have voluntarily withdrawn your application from consideration.
Sensitive Information Use
Some of the personal data we use is sensitive. This includes your social security number, your birth date, information about your medical or disability status, and information about your race or national or ethnic origins.
We use your social security number and birthdate to verify your eligibility to work in the United States, to pay your wages, to report your earnings to relevant tax agencies, and establish eligible employee benefits and services.
We use information about your medical or disability status to determine whether accommodations are necessary to facilitate your application during the recruitment process. You can decline to disclose this information without consequence for your employment application.
We use information about your race or national or ethnic origin to analyze whether our recruiting efforts meet Equal Employment Opportunity/Affirmative Action objectives and to report on our recruiting effectiveness to regulatory agencies. Where laws prohibit us from requesting this information, we will not ask for this personal data. You can decline to disclose this information without consequence for your employment application.
Criminal History
If you are selected to fill a position with us, we must explore whether there are any criminal convictions in your history that may disqualify you from consideration. Certain regulations governing credit unions (Title 12 US Code, Section 1785, and the Financial Institutions Reform, Recovery and Enforcement Act) restrict hiring individuals convicted of certain crimes involving acts of dishonesty or breach of trust.
The law permits us to consider your criminal history after we’ve first extended a conditional offer of employment. We’ll seek your authorization to pull your history, we’ll will advise you of your rights under the applicable regulations, and we will disclose to you any findings that prohibit us from proceeding with your employment.
Sharing Your Personal Data
We will only share your personal data with third parties as necessary to complete your hiring. In most cases, you’ll provide your information to these third parties directly, and the use of your data will be subject to their own privacy policies. But we’ll still get your permission to use your personal data to facilitate their supportive role in processing your application and – if applicable – completing your hire. This includes:
· Our electronic application platform, Paylocity
· Our applicant assessment platforms, GoodJob and Criteria
· Our background check provider, HireRight
· Our insurance company, TruStage
· Our selected credit reference bureau, Equifax
· Possible recruiting consultants and recruiting platforms
All of our third party service providers are required to take appropriate security measures to protect your data. We prohibit these parties from using your personal data for their own purposes.
Data Security
Your personal data is protected, and access is heavily restricted. We have erected appropriate security measures to protect your information from loss, unauthorized access or use, alteration, or disclosure. The authority to access your information is limited to employees or agents with a need to know, with an understanding of and responsibility for it’s appropriate use, and with a duty of confidentiality.
How Long Will We Use or Store Your Data?
We will store and use your personal data until your rights to make claims of discriminatory hiring have expired or, if applicable, until five (5) years after your employment with us has ended – whichever is latest. We will only retain the minimum amount of information necessary and will safely delete any information we don’t need.
The storage and use of your information by third parties who were authorized to access it is governed by their own individual privacy policies.
You are entitled to exercise your privacy rights yourself, and depending on where you reside, you may authorize an agent to exercise your rights on your behalf. If we receive a privacy request on your behalf, we will take steps to verify your identity or the authority of an agent acting on your behalf.
