Employment Applicant Privacy Notice
Spartronics, LLC and its subsidiaries (collectively “Spartronics”) is committed to protecting the privacy of job applicants.
What does this notice cover?
This notice describes how Spartronics will or may use your personal data in connection with your application for employment with Spartronics. We use this information solely for recruitment, hiring, and compliance purposes in accordance with applicable federal and state laws, including but not limited to Title VII of the Civil Rights Act, the Americans with Disabilities Act, and the Equal Employment Opportunity Act. This notice also explains more about your rights and how to exercise them in the “Your choices and rights section.”
We do not sell applicant data. Your information will be accessed only by authorized personnel and may be shared with third-party service providers (e.g., for background checks) only with your prior consent.
If you are a resident of California, Colorado, Connecticut, Utah, Virginia, or Washington, you may have additional rights under state privacy laws, including the right to access, correct, delete, or limit the use of your personal information.
For more information on your rights or our practices, please contact us at notices@spartronics.com.
What personal data does Spartronics collect? As part of the application process, we may collect personal data such as your name, contact details, work history, education, and other relevant data. We may collect this information from you directly, or through other sources or people, including those whom you have designated to provide a referral or recommendation, recruiters, or others. Where applicable, we also collect data from our third-party background screening provider(s) during the pre-employment screening process (to the extent permitted by applicable laws and with your consent).
Why do we collect, use, and store this personal data?
We collect, use, and store your personal data for the reasons set out below.
Unless required by law, providing personal data is voluntary, however, the failure to provide it may prevent you from taking part in the recruitment.
We may provide you with more specific notices for some of the processing described above and, if we require your consent, will ask for this at the time we collect your personal data.
How we share your personal data?
Personal data will primarily be processed by employees in our Human Resources and IT Departments.
Your personal data may be shared with companies providing services, such as technology services including third party recruitment, applicant tracking, background check or payroll processing services.
Your personal data also will be shared with government authorities and/or law enforcement officials if mandated by law or if required for the protection of our legitimate interests in compliance with applicable laws.
In the event that Spartronics is sold or integrated with another business, your details may be disclosed to our advisers and any prospective purchaser's adviser and will be passed to the new owners of the business.
What are your choices and rights?
You have the right to ask Spartronics for a copy of your personal data; to obtain specific information about how Spartronics processes your personal data, to correct, delete or restrict processing of your personal data; and to obtain the personal data you provide in a structured, machine readable format. In addition, you can object to the processing of your personal data in some circumstances (in particular, where Spartronics is not required to process the data to meet a contractual or other legal requirement). Where we have asked for your consent, you may withdraw consent at any time. If you ask to withdraw your consent, this will not affect any processing which has already taken place at that time.
These rights may be limited, for example if fulfilling your request would reveal personal data about another person, or if you ask us to delete information which we are required by law or have compelling legitimate interests to keep. If you have unresolved concerns, you have the right to complain to a data protection authority.
Where we collect personal data to administer our contract with you or to comply with our legal obligations, this is mandatory, and we will not be able to manage the employment relationship without this information. In all other cases, provision of the requested personal data is optional, but this may affect your ability to participate in certain programs or systems, where the information is needed for those purposes.
How long we retain your personal data?
Spartronics will retain your personal data only for as long as we need it for Spartronics’ legitimate interest in accordance with applicable law, for the purposes of the recruitment process and, once this process is finished, for an appropriate period so as to be able to deal with any legal claims linked to the application process. Recruitment records for successful applicants are kept in accordance with local laws. If you become an employee of Spartronics, relevant personal information you provide will become a part of your employee file and may be used later for the management of the employment relationship.
If you have any questions about your personal data processing and retention, please contact Spartronics at notices@spartronics.com
Updates to this privacy notice
Spartronics may update this privacy notice at any time, and we may provide you with a new privacy notice when we make any substantial updates. We may also notify you in other ways from time to time about the processing of your personal information.
