Administrative Support Specialist (Part-time)

Status: Non-exempt


Working Conditions: Works a structured, regular workweek as directed. Must be able to work extended hours when necessary, or occasional evenings or weekends in order to meet deadlines. Work environment can be high-pressure, high stress. Ability to work independently with minimal supervision. Slight risk of exposure to infectious disease.


Position Summary: Part-time position that focuses on data entry for training records for all PCHAS professionals. Will also support the Performance and Quality Improvement (PQI) process by running reports, organizing documents to be reviewed, etc. 


Essential Job Functions

  • Enter training documentation into PCHAS U for all PCHAS employees.
  • Set up and maintain training files.
  • Run reports and prepare files and data to be reviewed in PQI meetings. 
  • Order office supplies for all offices on Waxahachie campus.
  • Coordinate and publish weekly staff schedule.
  • Greet guests, maintain sign in process and provide customer service to all visiting the office.
  • Help with training set up and clean up as needed.
  • Process Gift in Kind donations and documentation.
  • Perform other duties as assigned.
Requirements

Education and Experience

Must have a high school diploma with good verbal and writing skills of post high school quality, college degree preferred. At least 2-3 years’ experience working in a position that demonstrates an ability to relate well to people. Must be well organized, self-motivated, and responsible for multiple task time lines.


Skills

  • Advanced Computer skills and typing skills.
  • Excellent working knowledge and ability to use Word, Excel, Publisher and Access.
  • Knowledge of or ability to learn PCHAS U and CSWIS data management systems. 
  • Excellent oral and written communication skills.

Other Requirements

Must hold a valid driver’s license, have and maintain a risk-free driving record. Must be willing to undergo initial and periodic child abuse/neglect, criminal history, sexual offender, and child care/elder care disqualification list screenings. As requested, must submit fingerprints for review by the state of your employment and Federal Bureau of Investigation (FBI).  Must undergo a pre-employment drug screen and a pre-employment physical with the results showing no evidence of communicable disease.
