Coordinator of Class Programs

Through our shared values and culture of professional team service, we provide strategic programming to best engage the Aggie Network in support of The Association’s mission. We are seeking an individual to join a highly motivated team in selflessly advancing The Association of Former Students’ noble mission by supporting our Class Programs efforts.

The Coordinator of Class Programs coordinates and executes the 50th Anniversary Class Reunion and Young Alumni Weekend. This position is directly responsible for creating the appropriate materials to train all Class Agents to be ambassadors for The Association of Former Students as well as ensuring these volunteer leaders complete the Class Agent training on an annual basis. This individual will assist in creating strategic programming to better engage young alumni as well as programming to instill greater engagement and affinity for The Association of Former Students and Texas A&M University amongst all Classes.

Essential Functions: Serves at the Team Lead to coordinate and execute the 50th Anniversary Class Reunion.

  • Collaborates with Class Agents and the Events team to plan and execute the annual 50th Anniversary Class Reunion.
  • Collaborates with the Events team to manage logistics of the 50th Class Reunion, including transportation, hospitality rooms, schedules and meals. 
  • Collaborates with the student Muster Committee as it relates to Campus Muster and honoring the 50th Anniversary Reunion Class at Campus Muster.
  • Administers and executes Class Agent elections.
  • Manages reservation and registration process and activities for the 50th Class Reunion.
  • Coordinates with Events team on hotel contract for the 50th Anniversary Class Reunion. 
  • Produces nametags, rosters and other Reunion materials.
  • Provides guidance and information to Class Agents for Class business meeting. 
  • Collaborates with Web and Communications teams to promote 50th Class Reunion online and in Association publications.
  • Creates and disseminates electronic newsletters/communications for the 50th Anniversary Class.
  • Coordinates guest speakers and special guests for 50th Anniversary Class Reunion. 
  • Coordinates staff volunteers for 50th Anniversary Class Reunion.


Serves at the Team Lead to plan and execute Young Alumni Weekend.

  • Collaborates with Manager of Class Programs & Constituent Networks and the Events team to plan and execute the annual Young Alumni Weekend.
  • Manages reservation and registration process and activities for Young Alumni Weekend.
  • Coordinates staff volunteers for Young Alumni Weekend.
  • Produces nametags, rosters and other Reunion materials as appropriate.
  • Collaborates with Web and Communications teams to promote Young Alumni Weekend online and in Association publications.

Creates appropriate trainings to educate and evolve prospective and existing Class Agents into ambassadors for The Association of Former Students. 

  • Creates appropriate orientation and training to Class Agent candidates and new Class Agents.
  • Creates appropriate trainings to existing Class Agents on an annual basis.
  • Holds Class Agents accountable for completing their training and returning of required documents.
  • Updates annual Class Agent trainings as needed throughout the year.

Contributes to Former Student Program events and activities, which includes: 

  • Providing assistance and on-site logistical support for all Class Reunions and the Sul Ross Group Reunion. 
  • Providing on-site support for Former Student Programs meetings and events, to include but not limited to: All-Aggie Tailgates and bowl game activities, Coach’s Nights, Constituent Network activities, Young Alumni events and meetings and Traveling Aggies Reunion. 

Participates and provides input on various Association-wide activities, which may include:  

  • Actively contributing to efforts to achieve culture, engagement, and fundraising goals.
  • Providing on-site event support for Board and Leadership Council meetings.
  • Participating on internal event and task committees.
  • Participating in Association events including, but not limited to, Muster, Aggie Ring Day, Reunions, Distinguished Alumni Gala, Pass It Back Day, All-Aggie Grad Party, and All-Aggie Hullabaloo, as needed.
  • Representing The Association as needed at external events.

Serves as an ambassador for The Association by meeting Team Expectations; supporting The Association’s fundraising, engagement, branding, and communications efforts; and fostering relationships with former students, current students, parents, faculty, staff and friends of Texas A&M. 

Occasional other duties as assigned.

Required: Bachelor’s or Master’s degree from Texas A&M University. 


Required: 3 years administrative or project management and event experience.

Preferred: 5 years administrative or project management and event experience. 


Required: Ability to operate a keyboard. Ability to move and carry objects up to 30 pounds. Valid driver’s license and ability to drive on business trips. Ability to work nights and weekends. Ability to stand/move around quickly for long periods of time when needed at events.


Required: Exceptional organizational, planning and project management skills. Ability to work independently in an ever-changing and multi-tasking environment with numerous deadlines. Effective time management skills. Excellent public speaking skills. Ability to develop long-lasting and professional relationships. Working knowledge of standard office equipment. Advanced software skills, including MS Word, Excel and Google Suite to perform administrative duties as required in maintaining communications, databases and spreadsheets.

Preferred: Knowledge of Adobe Photoshop and Adobe InDesign. 


Required: Must commit to working irregular and extended hours, including frequent nights and weekends. Extremely detail oriented. Professional attire and behavior. Outgoing personality with a positive and friendly attitude. Ability to interact with former students of all generations. Ability to handle multiple projects; flexibility to adjust to rapidly changing situations and problem solving with a positive attitude. Ability to derive solutions to unexpected last-minute challenges. Excellent oral and written communications skills, including editing. Works well independently as well as with a high-functioning team.
