Job Description - ADMINISTRATIVE COORDINATOR

Job Summary: Redstone is looking for an outgoing, compassionate and enthusiastic professional to help assist our team and make our office hum, like a well-oiled machine. As the first point of contact to our clients, partners, and guests, this person will have an inviting personality, exude positivity and smile under all circumstances.

Reports to: Operations Manager

Supervises: None

Wage Status: Non-Exempt (Eligible for overtime).

Job Responsibilities:

•Represents the company in a professional manner at all times.

•Takes and delivers messages in a timely manner, and maintains phone system.

•Consistently has a professional communication style.

•Possesses excellent customer service skills.

•Opens and distributes all incoming mail daily and assists in preparing outgoing mailings.

•Handles the purchase and ensures that all office supplies are stocked and accessible.

•Champions company-wide procedures, processes, and communicates updates or changes in an effective and respectful manner.

•Prepare annual files for various departments and handles archiving of historical documents.

•Organize and maintain storage area – arranging, properly disposing of documents and making room for others.

•Assist Leasing team in ensuring accuracy in completed paperwork, and data entry to Yardi software system.

•Maintains conference room scheduling and assists in overflow needs.

•Ensures that all common areas in the office are neat and organized.

•Assists in the planning and execution of company functions and large group meetings, as needed.

•Able to pivot when certain projects or procedures need to change.

•Promotes team values and demonstrates the ability to work with a wide range of personalities.

•Wants to take on various duties as needed--we are a small business, and all team members wear many hats!

Essential Job Functions:

•Position requires a minimum of 2 years Administrative Assistant experience.

•Demonstrate ability to apply principles of logical thinking to define problems, collect pertinent data, establish facts, draw valid conclusions and initiate appropriate course of action.

•Effectively convey ideas, images and goals to a diverse group of personalities, in a respectful way.

•Competence in personal computer skills, internet search, basic math, Microsoft Office Suite including Word, Excel, Outlook, Teams and PowerPoint as well as communication software applications.

•Participate in training in order to comply with new or existing laws and regulations.

•Comply with expectations as demonstrated in the Employee Handbook.

•Maintain a valid and unrestricted Driver’s License.
