Located on Olympia’s East Bay waterfront, the Hands On Children’s Museum is a beautiful, award-winning cultural institution and popular early learning destination for families throughout the Northwest and the nation. As a national Museum for All, Hands On served 325,000 annual visitors (pre-pandemic), with one-third of visitors served through a variety of free and low-cost Access programs.


The Accounting Specialist is a key member of the Business Department and is responsible for performing accounting transactions accurately through timely processing of accounts payable and accounts receivable transactions, preparation of journal entries, invoices, account reconciliations and research requiring the application of accounting principles and practices.

Duties include but are not limited to:

  • Ensure timely entry of invoices and credit card receipts in accounting system on an accrual basis
  • Ensure invoices and receipts are properly coded and approved
  • Pay bills, prepare checks for signature
  • Enter income from daily museum sales, online and Square sales
  • Enter donation income & reconcile monthly with Development Dept.
  • Reconcile monthly vendor & credit card statements
  • Review daily and monthly reports to ensure all work is done correctly and accurately
  • Verify vendor accounts, investigate and contact vendors to resolve discrepancies
  • Create invoices for field trips, private events, grants, pledges
  • Enter invoice payments
  • Track and follow-up on outstanding payments
  • Follow accounts payable and receivable policies, procedures and internal controls
  • Print and distribute weekly and monthly financial reports
  • Maintain vendor records & 1099 processing
  • Provide internal customer service by responding to department requests for vendor and item information, dates and quantities ordered, etc.

Qualifications and Experience:

  • 2-3 years accounts payable, receivable or general accounting experience
  • An associate degree in accounting
  • Experience with accounting software (Quickbooks preferred) 
  • Exceptional detail-orientation and follow-through skills
  • Proficient in the use of personal computers, internet and Microsoft Office suite of software including Word, Excel and Outlook 
  • Strong 10-key and keyboarding skills
  • Ability to demonstrate flexible and efficient time management and to appropriately prioritize workload based upon organization or department needs
  • Proven ability to work independently and as a member of a team
  • Proven ability to make sound decisions within established guidelines and to make recommendations to effectively resolve problems or issues
  • Excellent interpersonal skills
  • Must possess high degree of professionalism and ability to handle confidential information
  • Fully vaccinated for COVID-19. Must provide proof of vaccination upon hire and prior to the job start date

Hours:  This hourly position requires core hours in the Museum on a Monday-Friday schedule, with flexibility to work some weekends and evenings around special events and projects throughout the year.

This is a full-time non-exempt position. Compensation is $21 - $25/hour DOE
