Job Description

Hospitality specialists are primarily tasked with welcoming visitors warmly and creating a warm and friendly atmosphere to make both guests and our team comfortable.

Responsibilities :

  • Communication:
  • Answers phones, communicates via email, and interacts professionally with clients, customers, and team members each day
  • Collaborates and communicates directly with the Office Leader to identify items that should be addressed related to operations, office management, facilities, and equipment
  • Demonstrates problem-solving abilities and handles issues professionally and efficiently
  • Distributes organization-wide communication to team members internally and prepares new hire materials
  • Corresponds effectively and professionally in both oral and written communication
  • Operational Duties:
  • Handles petty cash and purchasing of gift cards for the site/team
  • Collaborates with maintenance vendors and the Office Leader to ensure all special requests are handled promptly
  • Ensures new team member spaces are set up with welcome materials
  • Organizes and supports travel reservations (e.g. hotels, cars, and conferences) requested by team members
  • Maintains a clean office environment between third-party cleanings
  • Coordinates company fleet duties, including scheduling oil changes & vehicle maintenance, processing license plate registration, and maintaining first aid kits
  • Prepares meeting rooms for interviews, internal meetings, CDI events, or external meetings. This includes assisting people with materials coming in and out of the office
  • Orders and stocks office and safety supplies, office snacks, soda, sports drinks, water, gum and mints to ensure the office maintains CDI hospitality standards; and ensures there are always cold drinks for team members and guests
  • Understands and can operate audio/visual technologies for meetings and CDI events
  • Communicates with the facilities owner as needed by the Office Leader or Senior Hospitality Specialist
  • Maintain keys for the office, rental units, and vehicles in a private, secure space
  • Other duties as assigned or tasked for special events
  • Ensures the window shades are down each night and open in the morning
  • High school diploma
  • Friendly, helpful, and customer service-oriented attitude
  • Ability to work core hours when the office is open for clients and the CDI team
  • Proficient in Microsoft Word, Excel, Outlook, and Teams
  • Prolonged periods of sitting or standing; frequent bending, twisting and reaching; must be able to frequently lift 30 lbs

This would be a part-time position; 20 hours per week, 10-2:30 pm M-F, with 30 minute unpaid lunch
