Senior Manager, Development Operations

Status:  Full-Time, Exempt

Compensation: $72,000 - $81,000 Annually

Reports to:  Chief Development Officer

Position Overview

The Senior Manager, Development Operations is critical to building a strong fundraising effort based on the balance of art and science. This position is responsible for ensuring all development resources are operationally sound and working effectively, including database management and data strategy. Develops and implements gift processing and gift recognition procedures; ensures data integrity and data security; provides database access and training; produces key data reports; and ensures all team members have required and functioning resources to effectively manage NAZ’s fundraising efforts. Works closely with the Finance Team to ensure financials align between Accounting and Development. Produces reports, data exports, and mailing lists for development and marketing/communications use. The position serves as the supervisor for the Development Associate and reports directly to the Chief Development Officer.

Primary Responsibilities

Fundraising database management and reporting

  • Oversee management of CRM (Salesforce) software including data entry, data output, reporting, and training. 
  • Identify, develop, implement, and maintain database policies and procedures as related to all fundraising activities.
  • Document and regularly update data procedures manual.
  • Manage and supervise data and gift-entry processes, ensuring the timely processing of all gifts received by NAZ.
  • Advise on proper procedures ensuring accurate recording of gifts.
  • Develop procedures, including audit processes, to ensure the integrity and security of database information. 
  • Keep pace with database advancements and translate into increased functionality for the Development department.
  • Continuously improve the quality and integrity of donor data.
  • Customize the database as needed to effectively track and report on constituents and gifts.
  • Ensure Development team has efficient and effective tracking systems to support fundraising and communication efforts.

Financial reconciliation and reporting

  • Work with Finance regarding gift entry, gift posting, fund creation, gift restrictions, and audit reporting.
  • Manage the monthly and annual audit reconciliation process in partnership with Finance.
  • Manage the monthly and annual data reports process, including the Contribution Report and the Board specific dashboard.
  • Collaborate with the Chief Development Officer on creating annual and multi-year revenue plans, forecasts, and success indicators.
  • Support fundraising initiatives including overseeing the registration, gift processing, and post-event reporting for virtual and in-person Development events.
  • Track and report on event registrations and attendance.

Donor data analysis and research 

  • Extract information from fundraising database to meet reporting and research needs of the Chief Development Officer, CEO, Finance, and Development staff.
  • Produce donor activity and prospect reports, including personal giving histories, employment relationships, real estate holdings, recent contacts, relationships, and employment history.
  • Work with the Director of Individual Giving to build and report on targeted appeal and fundraising strategies.
  • Analyze current donor and prospect lists for cultivation and solicitation.
  • Support prospect research utilizing best in class web based search engine (i.e. Donorsearch) and create detailed donor profiles to assist in cultivation and solicitation efforts.
  • Produce targeted mailing lists for communications, solicitations, invitations, etc., for the Development team.

General departmental support services

  • Develop, review, interpret, and advise Development staff of office policies and procedures.
  • Manage Development accounts, subscriptions, and passwords.
  • Serve as team lead for Asana, the NAZ preferred project management tool.
  • Ensure compliance with fundraising policies, goals, and procedures.
  • Manage the Mailchimp database to ensure the most current and accurate constituent lists are available at all times.
  • Serve as direct supervisor for the Development Associate role.
  • Perform other duties as assigned.


  • Bachelor’s degree and a minimum of three years relevant experience and/or training, or equivalent combination of education and experience in development services functions and office management experience.
  • Advanced computer skills such as Google suite and MS Office (Word and Excel).
  • Excellent skills with Salesforce and/or Raiser’s Edge donor CRM, preferably including work at the strategic systems level.
  • Experience with Pardot, Mailchimp or similar marketing and communication software.
  • Significant project management experience.
  • High level of professionalism. 
  • Previous experience managing people and resources.
  • Excellent attention to detail and ability to meet deadlines.
  • Highly organized self-starter with proven problem-solving and analytical skills.
  • Excellent interpersonal and communications skills.
  • Proficiency in communicating effectively, including an ability to write and speak effectively.
  • Knowledge of fundraising principles and practice.
  • Support and understand the development process: identification, qualification, cultivation, solicitation and stewardship.
  • Strong commitment to the expectation that children in North Minneapolis can succeed in academics and college.

Working Conditions and Physical Effort

  • Work is normally performed in an office work environment but may occasionally include lifting and bending.
  • Regular operation of normal office machines (computer, copier, and scanner) is required.
  • There are occasional evenings and weekends required.
  • Limited travel may be required.
