Data Entry/Administrative Assistant
Description
  • Enter WITF client schedules into Protrack broadcast traffic system to create contracts and revise contracts as needed to reflect makegoods and changes to client schedules.  
  • Distribute approved PDF contracts to AEs and file contracts in online folder. 
  • Maintain online folder to keep it updated, organized, and easily negotiated.
  • Reconcile all spreadsheets, matching to Protrack in preparation for billing in collaboration with the Finance Office to physically close out each month for radio, TV, Digital & multi-media sponsorship contracts.
  • Assist with mailing invoices as needed.
  • Maintain TV/FM/Digital avails to reflect program changes and updated contracts. 
  • Respond to customer service complaints/issues on a variety of matters in a professional manner.  
  • Daily updates to all revenue spreadsheets. 
  • Coordinate and perform administrative tasks to assist the Corporate Partnership Department.
  • Work with Account Executives to fulfill PPR affiliate buys inclusive of sending insertion orders, collecting and filing monthly affidavits and coordinating billing with the Finance Office.
  • Create purchase orders trade payment, etc.
  • Run spot placements and pull client invoices for AEs as needed.
  • Assist with other special needs of AEs such as mailings, special client requests, assisting with outside events/projects.
  • Assist AEs on the road with any faxing, scanning, or researching information as needed.
  • Assist Director of Corporate Partnership and Chief Impact Officer with special requests.
  • Learn      advanced ProTrack skills to cover for TV and FM Traffic Coordinator in      case of vacations and emergencies.
  • Perform      general administrative duties for the Sr. VP/Chief Impact Officer
  • Provide administrative support to the Chief Impact Officer including preparing correspondence, maintaining office and activities calendars, preparing mailings, and making travel arrangements if necessary. 
  • Other duties as assigned.
Requirements

Education and/or Experience: High school diploma and at least one year of related experience and/or training in data entry and general administrative duties; or equivalent combination of education and experience.

Salary Description
$20+/hour
