Senior Accountant: Accounts Payable & Payroll

As a member of the Finance and Administration team and under the general direction of the Director of Finance, the Senior Accountant will be responsible for Accounts Payable and Payroll processing, including compliance with cost allocation policies and procedures. The Senior Accountant is primarily responsible for month-end and year-end closing.

This position is required to be in the office 5 days a week and is not eligible for telecommuting.


Essential Functions

  • Review and process a high volume of accounts payable invoices, ACH transfers and check disbursements.
  • Maintain distribution codes, monthly costs and allocations across all programs and funders, as well as maintain all accounting records filings and required documents. 
  • Prepare and distribute documents, i.e. 1099 reports, and assist in annual audit or grantor site visits.
  • Process bi-weekly payroll and retirement plan contributions in accordance with plan documents and requirements. 
  • Prepare, review and submit or adjust payroll journal entries for approval and posting. 
  • Work with third party payroll provider to ensure accurate and timely filing of all tax related filings including quarterly and annual IRS payroll tax filings, TWC reports, W-2s, ACA forms and filings.
  • Manage accounting email inbox and maintain document management system in SharePoint.
  • Complete all work in full adherence to applicable financial, accounting and payroll policies or procedures as well as state and federal requirements. 
  • Ensure deadlines are planned, calendared and timely executed with sufficient time dedicated to upper management’s approval of disbursements and payroll processes.
  • Review/evaluate processes, suggest and facilitate development of efficiencies and/or continuous improvement of internal controls and policies and/or procedures in order to implement accounting and payroll best practices.

Other Functions

  • Maintain the privacy and confidentiality of employee and payroll information at all times.
  • Assist employees and managers with payroll questions and provide training and support on time tracking system to employees and managers as needed. 
  • Perform other duties as assigned.

Education (Preferred) 

  • Bachelor’s degree in Accounting or Finance 

Experience (Required)

  • Minimum five years of relevant accounting and financial experience, or the equivalent in education and experience. 

Experience (Preferred)

  • Experience working with accounting software such as MIP/Abila Sage and payroll systems such as Paylocity. 
  • Experience working with a non-profit organization. 

Knowledge / Skills (Required) 

  • Knowledge of principles and practices of nonprofit accounting including all applicable laws, rules, and regulations for nonprofit financial record keeping and reporting. 
  • Current knowledge and understanding of state and federal payroll laws and regulations. 
  • Demonstrated proficiency with Microsoft Office suite and Adobe Pro. 
  • Strong organization and prioritization skills. 
  • Excellent analytical skills and attention to detail skills. 
  • Outstanding interpersonal and collaboration skills.
  • Ability to electronically compile and file documents.

Physical Requirements 

  • Sedentary work that involves sitting most of the time. 
  • Occasional bending, squatting, and kneeling. 
  • Exerting up to 10 pounds of force occasionally, and a negligible amount of force as needed, at times to lift, carry, push, pull, or otherwise move objects.
