The Archibus Specialist will work with National Oceanic and Atmospheric Administration (NOAA) to develop and maintain processes, policies, and data standards associated with National Marine Fisheries Services (NMFS) Archibus. This individual will work with the Archibus vendor and NOAA to develop baseline user training/guides and a communication plan to help inform end users during the development and implementation of Archibus Computerized Maintenance Management System (CMMS). The Archibus Specialist will extract, review, and validate useful data from Archibus to plan, track, and execute effective asset management. This individual will assist in identifying data anomalies, providing recommendations for improving data, and assisting in data cleanup efforts. 


  • Work collaboratively within the organization to support the interests and needs of our clients and to broaden the business base of GoldenWolf.
  • Maintain processes and policies associated with Office of Management and Budget (OMB) facility spaces in Silver Spring, MD
  • Review and validate personnel and space data in NOAA Archibus system 
  • Assign cubicle/office space for new employees or employee moves in the in NOAA Archibus system
  • Track and monitor maintenance requests to completion
  • Review and approve facility maintenance requests through the NOAA 41-1 process
  • Liaison with NOAA Building Management and current facility maintenance staff
  • Serve as the first line of communication and subject matter expert for assisting and providing guidance for all aspects of Archibus
  • Ensure continuous CMMS implementation, integration, sustainment and data quality between the CMMS and other databases
  • Provide onsite support and training
  • Determine root cause of discrepancies regarding counts to inventory and make recommendations for correction
  • Provide comprehensive Monthly Workload and Performance reports
  • Perform quality assurance by ensuring the accuracy of reporting data
  • Implement/follow procedures for ensuring quality data and inventory control is present within the database
  • Design and develop proper data standardizations
  • Maintain customer confidence and protect operations by keeping information confidential
  • Verifies entered customer and account data by reviewing, updating, and archiving files to eliminate duplication of data
  • Reports project status updates directly to the Project Manager, or designated alternate, on a regular basis
  • Regularly communicates with customers/clients to discuss CMMS implementation progress, review of CMMS data, and provide recommendations for improving CMMS data
  • Develop process flow maps for Deferred Maintenance and Repair (DMR) funding process
  • Polyline floor plans for leased NMFS facilities using AutoCAD software to be uploaded into CMMS
  • Performs other related duties as assigned.


Required Skills/Abilities:

  • Working knowledge of Archibus required, Archibus 25.2 preferred
  • Possess excellent verbal and written communication skills.
  • Possess the ability to analyze information, interpret results and make recommendations
  • Must be able to demonstrate effective leadership, problem-solving and decision-making abilities
  • Excellent interpersonal and customer service skills
  • Experience with CAD floor plan polylining preferred
  • Proficient with Microsoft Office Suite or related software
  • Excellent organizational skills and attention to detail
  • Ability to remain flexible and adapt quickly
  • Excellent time management skills with a proven ability to meet deadlines
  • BUILDER SMS experience preferred.
  • Basic understanding of process improvement principals desired
  • Analytical thinking/critical thinking skills are imperative.
  • Ability to effectively solve problems. 

Education and Experience:

  • Experience working with NOAA Fisheries desirable.
  • Bachelor’s degree preferred
  • Creation of dashboards and trend graphs in Archibus experience preferred 
  • Experience with AUTOCAD preferred
  • Facility Management experience desired
  • Minimum three years of Archibus experience required.
  • Must be eligible to obtain and maintain a favorable Department of Defense (DoD) Position of Trust (Tier 1 level investigation) 

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
  • Must be able to work remotely and on-site as required by the position, client and/or contract requirements.
  • May be required to travel up to 20%.

Salary Range:  Compensation based upon experience and skill level.
Job Type:  Full-Time (40 plus hours a week).Remote
