Position Summary

The Clinic Assistant provides logistical and administrative assistance to staff, providers, patients, and their families.

Essential Duties and Responsibilities

  • Facilitates the placement and rooming of patients by escorting them from station to station in accordance to their specific plan. Is familiar with each of the possible pathways a patient may navigate, such as cast room, therapy, surgery center, check-out, Magnetic Resonance Imaging (MRI), radiology, etc.
  • Collects and enters patient data in accordance to the specific clinic’s preferences.
  • Takes direction from the Medical Assistance staff and providers performing duties as assigned that are within the scope of the assistant’s practice and competence.
  • Assists Medical Assistant with chart prep duties and voice mail transcription.
  • Prepares patient for examination and procedures as directed by the Medical Assistant or provider.
  • Obtains basic health information from the patient during the intake process, as directed. Assists patients with ambulation, transfers, the removal and donning of shoes and socks, and dressing as appropriate.
  • Assists provider during procedure upon request. May act as a designated chaperone upon request.
  • Responsible for preparing the clinic exam rooms prior to the start of the clinic. Responsible for stocking the exam rooms with supplies and equipment necessary to support the next morning’s clinic.
  • Cleans rooms between procedures/patients. Organizes and maintains medical supplies in exam rooms. Ensures all medications (oral and parenteral) have not expired. Ensures all injectable medications are dated when opened. Ensures disposal of single dose vials that are opened or expired.
  • Returns outdated medications to the appropriate personnel for proper disposal.
  • Follows clinic policies for infection control in handling and disposing of infectious hazardous waste materials.
  • Demonstrates flexibility, covering for and assisting other staff as deemed necessary and works with providers when needed.
  • Informs department manager of any problem issues.
  • Attends appropriate meetings (department and all company) and participates in committees as assigned.
  • Responsible in the adequate use of the timekeeping system; notifies manager if additional information is needed for the pay sheet.
  • Collects soiled laundry; wash, dry and fold laundry.
  • Responsible for following protocol and/or protocol changes outlined in departmental meetings.
  • Adheres to all OCR as well as departmental policies and procedures. Follows infection control/safety guidelines and confidentiality/HIPAA policies. Maintains confidentiality in matters regarding the clinic, its patients, and employees.
  • Fulfills organizational responsibilities as assigned which may include: respect/promoting patient rights; responding appropriately to emergency codes; sharing problems relating to patients and/or staff with Director.
  • Displays an image of personal and professional competence.
  • May perform additional duties as assigned, given the proper certifications and competencies. Clinic Assistants with a phlebotomy certification may engage in phlebotomy practices (venipuncture; collect, label and document lab specimens; clean lab between patient visits, stock lab supplies as appropriate) Technical procedures must be accompanied by a certification or documented competency as appropriate.
  • Other duties as assigned.

Education and Experience

  • High School diploma or equivalent.
  • One year of related healthcare experience, preferred.
  • Demonstrated knowledge of health care field and medical specialty.

Certificates, Licenses, Registrations

  • Electrocardiogram (EKG) certification, preferred
  • Phlebotomy certification, preferred.
  • Cardiopulmonary Resuscitation (CPR) certification, preferred.

Work is closely monitored by supervisor/manager; detailed instructions and procedures are generally provided.

Supervisory Expectations

This job has no supervisory responsibilities.

Travel Requirements

Position requires valid driver's license, acceptable motor vehicle history, valid and free from restrictions, and must have appropriate vehicle insurance coverage. Ability to travel between all OCR locations.

  • The work environment is the typical medical office environment. The employee must be able to complete their work satisfactorily in an environment where there are significant distractions, including staff, patients, and vendors walking through and conversing, telephones ringing, conversations carrying over, loud noises, and interruptions to answer questions from others.
  • While performing the duties of this job, the employee is occasionally required to sit and use hands to finger, handle, or feel objects, tools, or controls up to 8 hours per day. The employee frequently is required to talk or hear up to 8 hours per day. The employee is frequently required to stand; walk; reach with hands and arms, and stoop, kneel, crouch, or crawl up to 8 hours a day.
  • The employee must regularly lift and/or move up to 25 pounds and should do so in a sound and safe manner. The employee will regularly assist patients in turning; will frequently assist patient in arising from exam table; will frequently push wheelchair patients; and frequently assists patients in arising from and returning to wheelchair or bed.
  • Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
