Records Specialist

Position: Records Specialist   Status: Non-Exempt 

Reports to: Clerk of the Board (COB)    Location: San Bernardino International Airport

Hourly Rage: $25.02 – $29.88 an hour will full benefits


Under general supervision, the Records Specialist is responsible for assigned segments of the Clerk of the Board providing administrative and analytical support related to assigned areas of responsibility for both the Inland Valley Development Agency (IVDA) and the San Bernardino International Airport Authority (SBIAA). 

Supervision Received and Exercised

Receives direct supervision from the Clerk of the Board. Exercises no supervision of staff.

Essential functions

The following duties are typical for this classification. Incumbents may not perform all of the listed duties and/or may be required to perform additional or different duties from those set forth

  • Performs a variety of specialized administrative and technical work in support of the Clerk of the Board’s Office. 
  • Organizes, coordinates, archives, and prepares records for storage, including boxing, numbering, labeling, shelving, and filing.
  • Provides administrative support in areas of records management and research in compliance with applicable rules, policies and procedures. 
  • Maintains and destroys records in accordance with the record retention schedule.
  • Performs various duties related to special projects; works closely with Agency staff in the implementation of current and future special projects.
  • Assists in preparation and posting of agenda items, supporting documentation and presentation materials for public meetings in various locations, including online. 
  • Prepares and assists in preparation and processing of a variety of correspondence, reports, contracts, resolutions, RFP/Bid logs, and notices, pertaining to both the IVDA and SBIAA. 
  • As directed, research information and assists in preparation of documentation of various topics, such as public inquiries, public records requests, historical research of SBIAA and IVDA actions taken on current and past projects. 
  • Assists in the preparation and submittal of annual FPPC Form filings.
  • May perform official duties in the absence of the Clerk of the Board or Deputy Clerk of the Board. 
  • Assists with projects in ArcGIS.
  • Establishes, maintains, and fosters positive and effective working relationships with those contacted in the course of work including the. public, vendors, contractors, elected officials, executive staff, and agency staff.
  • Performs other duties as required.

Minimum qualifications

Equivalent to graduation from high school or GED and/or three (3) years of working experience primarily performing analytical and technical duties in the areas of related business operations or similar analysis.

Conditions of Employment 

  • Possession of, or ability to obtain, a valid California Driver’s License by time of appointment.
  • Successfully complete background check to obtain and maintain federally mandated security clearances where required.
  • Completion of a 10-panel drug screen for all substances deemed illegal by the Federal Government
