Referral Specialist

The Referral Specialist provides the intake of referrals, pre-certification or verification of benefits, and physician orders. Provide information regarding services to providers and parents. Collaborate with the Marketing Department to promote our services. Serve as a liaison between, clinical field staff, patients, and physicians. Receive telephone intake orders and progress reports. Complete proper documentation in a timely manner.

The Referral Specialist’s primary responsibility is attaining authorization for therapy services provided by Circle of Care. 


Duties and Responsibilities:

  • Provide accurate intake information on all referrals
  • Obtain pre-authorization if required by the payor
  • Contact third-party payers to pre-certify and obtain benefit information as needed
  • Contact physicians for orders on all new referrals; contact physicians for approval and orders for changes in existing patient Plans of Treatment
  • Effectively track & document referrals to ensure services are rendered in a timely manner
  • Relay messages from field staff to office personnel as needed
  • Provide general information regarding home health services to the community and physicians
  • Disburse patient Initial Assessment visits to Clinical Field Staff
  • Notify the Administrator and Scheduling/Staff Coordinator regarding admissions, re-admissions
  • Provide a professional and consistent quality of performance in all assigned tasks
  • Maintain orders for clinical staff members following Agency policies and procedures
  • Prepare and provides a daily report to track all referrals, pending admits, and evals
  • Assist the authorization department in the verification of patient eligibility as needed
  • Additional responsibilities as requested

Education and Experience:


  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Able to travel to prospective patients’ residences, hospitals, and in the community.
  • Must be able to read 12-point or larger type.
  • Basic computer skills including Microsoft Office; Excel; Outlook.
  • Familiarity with medical terminology 
  • Ability to solve practical problems and deal with a variety of medical and community individuals
  • Ability to communicate effectively with the patient’s family, physicians, clinical field staff and other employees of the organization


  • Minimum of one year experience in a referral role
  • Experience working in an administrative setting
  • Experience working in a growing organization 
  • Ability to speak Spanish

Salary Description
$17 to $18
