Position Summary
To review, follow-up, and assemble complete financial aid applications; process files and package financial aid; to counsel students and parents in the application and awarding process; and to conduct these activities in compliance with federal, state, and institutional guidelines.
Essential Duties And Responsibilities
(1) Assists students, parents, and university staff with financial aid inquiries, loan information and application procedures either in person, in writing, by telephone or via internet.
(2) Processes documents needed to complete students’ financial aid files. Prepares correspondence, enters data, develops financial requests for funds disbursement and other documents relating to financial aid.
(3) Packages federal, state and institutional financial aid awards to students. This includes, but is not limited to, reviewing student files, understanding and implementation of policy and procedures and producing written correspondence and preparing mailings.
(4) Assists students during pre-registration and the final registration process.
(5) Communicates with federal and state agencies and lenders regarding reporting requirements and regulations regarding financial aid either in person, in writing, via electronic format, or by telephone.
(6) Presentations relating to financial aid for prospective, new and currently enrolled students as well as for community service functions.
(7) Attend financial aid training, workshops, seminars, and conferences. Compilation of data required for statistical reports for trends analysis and executive reports. Review and update office procedures annually.
(8) Perform all other duties as assigned.
Minimum Qualifications
Education:. (1) A two year college degree or (2) Completion of a specialized course of study at a business or trade school or (3) Completion of a specialized and extensive in-house training or apprenticeship program.
Experience: Six months to two years of similar or related experience.
Preferred Qualifications
Bachelor’s Degree or equivalent experience.
Fluent in Spanish.
Licenses/Certifications
Cannot be in Default on Repayment of Federal Educational Funds in order to obtain access to information in Federal Data Systems.
Knowledge, Skills And Abilities
One to two years of experience in financial aid or related field is preferred. Ability to operate computer equipment and software including word-processing, spreadsheet, and internal database mainframe for recordkeeping and communication purposes required (Microsoft Office products preferred). Decision-making, problem-solving and effective personal management is a must.
High school diploma or equivalent required; bachelor’s degree in business, management or related field is preferred. Excellent interpersonal, oral communication and customer service skills are required. Ability to maintain confidential information in a professional manner is required.
Good written communication skills are required. Must have working knowledge of all office equipment, including, but not limited to, computer, copier, fax machine, ten-key adding machine, and telephone.
Physical Requirements
Job may require lifting light weight objects (1 to 10 pounds) with no repetitive bending or stooping. Occasionally lift average weight objects (1 to 10 pounds).
Work Environment
Regular exposure to favorable conditions such as those found in a normal office.
