2nd Shift Breakdown/Dispatch Coordinator

HOURS:  3:00 p.m.-12:00 a.m.


POSITION SUMMARY 

Directly lead, supervise and coordinate the activities of the After Hours staff. Collaborate with other Managers to attain company goals. Respond to telephone calls and satellite messages pertaining to mechanical failures that occur away from the terminal. Diagnose equipment failures, arrange road service and/or shop repairs. Monitor repair progress and expenses. Communicate with other departments concerning the time frame for repair completion to ensure maximum use of equipment and driver productivity.

Essential Functions Statement(s) 

  • Direct activities related to mechanical failures to equipment outside of the home terminal. 
  • Determine best plan of action pertaining to necessary repairs; providing efficient and cost effective resolution of mechanical failures. 
  • Monitor and follow up on the repair process to ensure a prompt response and satisfactory repair completion. 
  • Monitor and evaluate After Hours staff as needed. Set standards for performance and hold personnel accountable. 
  • Communicate with Operations and other departments as needed to convey necessary vs. unnecessary repairs and update the status of failed equipment and subsequent repair schedules. 
  • Maintain DVIR screen following the reporting of safety defects from drivers. 
  • Negotiate repair estimates to ensure cost effectiveness. 
  • Follow up on all repairs to ensure satisfactory repair completion. 
  • Issue purchase order numbers and/or Com checks for authorized work. 
  • Enter repair orders into maintenance software. 
  • Track and close all invoices when payment has been issued. 
  • Complete all necessary documents accurately and timely. Create and close work orders. 
  • Monitor spending to ensure that expenses are consistent with approved budgets. 
  • Review vendor repair orders for consistency and accuracy; approve and code for payment. 
  • Reduce breakdown expenses by establishing new, more cost competitive vendors and repair estimate negotiation. Secure, negotiate and approve estimates on all major over the road repairs. 
  • Maintain mutually beneficial relationships with vendors to ensure positive work relations. 
  • Develop criteria, instructions, and implement programs to reduce expenses by establishing relationships with cost competitive vendors. 
  • Assist the Safety Department in accident report completion, repair, information and recoveries. 
  • Communicate and enforce safety rules, regulations and company policy. Lead by example. 
  • Research driver initiated issues and collaborate with employees to assist in problem resolution. Communicate problems and driver needs to Load Planners, Customer Service and Maintenance Department as needed. 
  • Comply with company policies and procedures.
  • Perform daily lot checks to insure location and condition of equipment.
  • Accurately complete breakdown reports as assigned.
  • Consistently report to work as required and complete normal work hours.
  • Comply with company policies and procedures.

SKILLS & ABILITIES 

Education: High School Graduate or General Education Degree (GED)


Experience: Two to four years related experience 

Computer Skills: 

Average keyboarding skills

Experience with Microsoft Excel, Word and Outlook Express 

Experience with TMT & TMW software helpful, but not required 


Other Requirements: 

Mechanical aptitude with an emphasis on Class 8 Tractor/Trailer repair and body work
