Job Overview:

MidLantic Urology is seeking an organized Surgery Scheduler to join our team at our Huntingdon Valley location. The Surgery Scheduler will coordinate all procedures ordered by the providers through our EMR. Inform patients of the procedure they are to receive and communicate pre-procedure instructions with patients. Schedule patients appropriately for the time needed for each procedure. Make any follow-up visits required after procedures. This is a face-paced, high volume physician practice.


Essential functions include but are not limited to:

  • Ability to plan time effectively, balance multiple tasks, and execute projects to completion.
  • Demonstrated knowledge of Medical terminology.
  • Verifies information being entered into the system is correct, i.e., spelling of name, DOB, gender, insurance information, etc.
  • Sets priorities and organizes work
  • Must possess problem-solving skills.
  • Must possess excellent communication, organization, and interpersonal skills.
  • Determines O.R. time needed for the procedure and works with Facility to ensure procedure is scheduled, and daily schedule is streamlined.
  • Obtain patient face sheets from Insurance Verification to obtain necessary authorizations based on insurance types.
  • Cross-trains as back up to other surgical schedulers as requested or needed.
  • Supports and adheres to all company and practice policies and procedures.
  • Adheres to established company policies and procedures and follows state and federal regulations, such as OSHA and HIPAA guidelines.
  • Check triage messages daily.
  • Fill out surgery forms, mail patient paperwork.
  • Scan forms, any clearance needed in patient’s chart.
  • Get doctors signature and fax paperwork to hospital or surgery center.
  • Call patients with date of appointment and go over paperwork and process.
  • Follow up on all pre-operative tests to ensure completed and cleared for surgical procedure and communicates with physician and patients if further testing is required before surgery is performed.
  • Performs other general duties as assigned.
  • Communicates changes to schedule to appropriate staff.
  • Promote positive relationships with scheduling coordinators, physicians.

  • Demonstrated ability to practice and ensure confidentiality of patient information
  • High School diploma or GED required.
  • Minimum (1) year of experience in a medical office setting highly preferred. (i.e., ambulatory surgery center, hospital, doctors office) preferred
  • Experience with computer systems required, including web-based applications and some Microsoft Office applications, which may include Outlook, Word, Excel, or PowerPoint preferred.
  • Strong communication and customer service skills.
  • Knowledge of ICD10, CPT coding, and medical terminology is required.
  • Computer proficiency and prior experience with Electronic Medical Records preferred
  • Ability to work in a fast-paced environment

Physical Demands:

  • This position requires sitting, standing, and walking. A typical day includes a significant amount of time sitting.
