JOB DESCRIPTION

Position Title: Administrative Coordinator 

Employment Classification: Full-time; Hourly; Non-Exempt

Reports to: Chief Program Officer

Department: Program

Position Summary: The Administrative Coordinator provides administrative and operational support for program staff and program administration. Assumes responsibility for special projects and coordinates activities between departments. 

Requirements

Major Areas of Responsibility:

  • Coordinate internal and external meetings including Program Committees, adjacent Program Boards, (secure venue, order refreshments/food, marketing/outreach, arrange for raffle prizes, room set-up, copy/print/prepare materials, take minutes, data entry, etc.)
  • Support program staff and administration with processes and documentation, including generating and formatting reports (proposal packets, data entry, invoices, and reimbursements, etc.).
  • Coordinate with marketing on Youth facing program materials and website. 
  • Work with Quality Assurance and take the lead on measures of safety within assigned building areas. 
  • Maintain cleanliness, organization, and inventory of all conference rooms, copy room, and kitchen of assigned building areas.
  • Order supplies and make service calls as needed.  
  • Maintain standards to meet health and safety through training staff and providing direction and feedback. 
  • Coordinate with the Office Manager on meeting room schedules and organization. 
  • Provide reception desk back-up coverage as needed.
  • Assist in researching and compiling information for reports, proposals and evaluation. 
  • Work with program administration to create, refine and employ program implementation processes and procedures. 
  • Coordinate Program staff onboarding & ongoing training 
  • Responsibilities involve exposure to sensitive information and require diplomacy & discretion. 
  • Assist with outreach for program services, events, surveys, etc. internally and externally. 
  • Serve as main Programs contact to coordinate questions, referrals, etc.
  • Other duties as assigned.


Knowledge, Skill and Experience Requirements:  

  • Bachelor’s Degree preferred or high school diploma with approximately two years of experience performing administrative and providing customer service support. 
  • Excellent organizational skills; Ability to self-start, work independently, and multi-task; must thrive on diverse assignments, deadlines and taking direction from multiple employees
  • Excellent written and oral communication skills including phone experience
  • Proficient in all Microsoft Office applications, Outlook, Excel, Power Point 
  • Bi-lingual English/Spanish preferred
  • Possess a valid California driver’s license and proof of automobile insurance. Position requires DMV clearance.
  • Must be able to pass a criminal background check, FBI/DOJ fingerprinting, TB test, and drug screen. Previous employment will be verified.

Working Environment/Physical Requirements: Primarily an office job. Occasional driving to meetings/trainings. Position may require use of personal vehicle. Physical requirements include standing, sitting, typing, bending and lifting up to approximately 50 lbs. (i.e. tables, chairs, food, water, etc.)


Modification to work schedule may be made based on need of the Foundation.

Salary Description
$25.00 - $28.00 per hour
