Position Overview: The Sales Support Specialist role directly supports our sales executives and other administrative company support. The primary focus of this role is to increase the Sales Team’s productivity, efficiency, and organization through proactive support. This role is responsible for drafting and assisting the sales executives' prospects and clients and supporting documents that require strong writing skills and proofreading. Secondarily, this role provides general support and quality assurance to the sales department and company. Sales is a high-energy and dynamic group in need of someone who can adjust to changing priorities and deliver deadlines. Being a self-starter, with effective and professional communication skills verbal and written, and impeccable attention to detail are skills that will be utilized daily. 


This position will have the potential for a remote hybrid option provided the initial onboarding and training have been successfully completed.


SALES SUPPORT SPECIALIST RESPONSIBILITIES

70% Sales Executive Support - 25% Department & Company Support - 5% Miscellaneous

Meet with assigned sales executives 1:1 on a daily basis to ensure alignment on administrative priorities, Big Rocks process, and accurate KPI (OCP) data. Understand administrative and sales KPI data and assist sales executives with reporting.

Update information for Weekly Team Meetings while helping plan, organize and simplify the executives' overall day-to-day.

Ensure sales dashboards are accurate, reach out to appropriate team members to revise and edit any inaccuracies.

Anticipate future needs and proactively set up the next steps while developing a cadence.

Manage the calendar and schedule internal (office) and external (client) meetings.

Draft, edit, send, manage client and call center information, and save documents. Maintain formatting standards for the documents utilized.

Collaborate with other departments on the client's vendor search for drafting and edits.

Coordinate submitted proposals and track documents from Call Center Partners throughout the sales lifecycle and manage follow-up communication to meet deadlines.

Schedule conference calls and update related fields in the CRM related to all sale stages.

Assist with coordination for vendor meetings including site visits, conference calls, and travel.

Ensure document naming conventions and the file structure meet company standards.

Attend client calls and type up sales executive call notes as well as transcribe dictation.

Complete expense reports.

Requirements

Administrative Experience:

2+ years of proven administrative experience with calendar, travel booking, and sales executive support task management required.

2+ years in a B2B sales-focused and client services environment required.

2+ years college level or client-facing business professional writing experience required. Collegiate level skill set in proofreading, spelling, grammar, and overall proficiency in business professional listening, writing and verbal communication skills. 

Excellent ability to remain organized and handle multiple tasks and projects, prioritize, be independent, manage time effectively, high attention to detail, and be a self-starter. 


Technical Experience (Equipment and Tools Used):

Familiarity using Mac OS platforms and Internet/PC proficiency.

Proficiency in cloud-based software such as Google Drive and CRM systems such as Zoho or Salesforce.

Demonstrated experience with high efficiency and accuracy in typing and word processing.

Advanced MS Word, Excel, PowerPoint, Google Mail, and Calendar experience. 

Experience with telephone systems and conference calling.


Education:

Associate’s degree (business or office administration, and communications-related degrees preferred).
