Job Summary
This position enhances VP’s effectiveness by providing management level support and representing the executive to others. This will be a role that operates with a fair degree of autonomy, so we are looking for a passionate, entrepreneurial self-starter that can successfully operate in a lean, fast-moving organization.
Responsibilities
- Completes a broad variety of administrative tasks for the VP including but not limited to: managing an extremely active calendar of appointments; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
- Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
- Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
- Works closely and effectively with the VP to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the VP updated.
- Provides leadership to build relationships crucial to the success of the organization.
- Manages a variety of special projects for the VP, some of which may have organizational impact.
- Maintains VPand customer confidence and protects operations by keeping information confidential.
- Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
- Provide clerical and administrative support as needed (answering incoming calls & customer service).
- Must be organized with attention to detail and have a resourceful and diligent work attitude
- Excellent communication and problem-solving skills

- Punctual, responsible individual with a strong sense of ownership and thoroughness
- Demonstrates a high degree of confidentiality and professionalism
- 5-8 years of actual experience in the workplace
- College or university degree preferred
- Graphic design and video editing (Canva, Adobe suite)
- Office and Google suite proficiency preferred
Work Environment:
- General office environment
- Hours of work and days are Monday through Friday, 8:30 a.m.to 5:00 p.m.
- Location: In office - US, Holmdel, NJ.
Physical Demands:
- Must be able to remain in a stationary position 50% of the time.
- The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
- Constantly operates a computer and other office productivity machinery, such as a copy machine and computer printer.mbs
- The person in this position frequently communicates with executives.
