We are hiring a Payroll & HRIS Specialist eager to provide support to Human Resources by improving the overall accuracy of the Human Resources Information System (HRIS) and processing all company Payroll. This is the perfect role for someone who appreciates details and digging into "why" and "how" when it comes to HRIS data management (electronic and physical files), timecard management, payroll management, updating and developing HRIS processes, creating and running reports.
This position is primarily a Monday - Friday, full time, day shift position.
This position is required to be located in Central Oregon and, following a successful onboarding period, may be permitted to work a hybrid (remote/onsite) schedule.
Compensation for this position starts at $21/hour with opportunity for increase based on previous experience brought to the role.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
HRIS Management:
- Maintains HRIS records (electronic and physical) and creates reports as needed.
- Execute and lead system updates such as mass compensation changes, position data maintenance, organizational charts and audits.
- Develop, review, test, and support implementation of new functionality in the HRIS - which includes upgrades to the system, reports, enhancements, etc.
- Troubleshoot and act as a subject matter expert for the HRIS by researching and resolving problems, recommending solutions or alternative methods and documenting, and communicating results.
- With leadership’s support, analyze employee data in response to employee and manager inquires, interpret rules, guidelines, labor laws, policies, employment practice issues, pay discrepancies, etc.
- Identify HR, payroll and benefit anomalies and recommend appropriate action to key stakeholders.
- Design reports and tools to streamline the HRIS system and other workflows.
- Develops SOPs, tools and guidelines that complement HR policies and best practices.
- Support all other HR systems including third party vendors, shared drives, employee portals, etc. and ensure the proper HR systems are in place to meet the business needs.
- Completes wage and employment verifications.
- Assists the HR team with HR projects as assigned.
Payroll Management:
- Enter new/returning employee data into the payroll system, set up pay codes, deduction codes, cost centers and other applicable payroll/timekeeping rules.
- Gather and process all data to create bi-weekly payroll checks (timesheets, deductions, benefits, etc.)
- Maintain accurate wage data for every employee.
- Assist with compensation structure and design as needed.
- Apply all applicable internal policies, processes and wage and hours laws (such as overtime rules) to manufacturing payroll, tipped employee payroll and all other company positions.
- Prepare pay runs for bonus calculations, final checks, and other miscellaneous pay runs.
- Prepare and sign quarterly and annual payroll tax reports for all federal and relevant states.
- Provide support with audits including the payroll tax audits and other audit requests.
- Conduct payroll liabilities reconciliations and other bank entries and transactions as needed.
- Assist with applicable file feeds and uploads into the designated systems as needed.
- Ensures accuracy of employee personnel files and corrects discrepancies.
- Assists with the annual review process, run reports, files reviews, process pay changes, terminations, final pay, etc.
Additional HR Duties:
- Work with key stakeholders and training on all new HRIS and payroll updates.
- May be asked to serve on company committees.
- Process HR invoices that fall outside of accounts payable.
- Process mail and assist departments, employees and the public with inquiries regarding the human resources data and functions.
- Performs other duties as assigned.

QUALIFICATIONS:
High school diploma is required.
College degree in Human Resources, Accounting, Finance or Business is preferred.
Experience working in Payroll for a multi-state employer is required.
Experience with demonstrated proficiency in HRIS systems is required.
Experience creating, maintaining, and enhancing HRIS systems and tools.
At least an intermediate level of understanding of Microsoft Office/Google Suite programs.
Strong analytical, data analysis skills with a high level of accuracy and attention to detail.
Must exhibit a high degree of confidentiality and discretion.
Ability to work with high level of autonomy, organize, prioritize, and meet deadlines.
Ability to partner and work well with others.
Strong verbal and written communication skills.

WORKING CONDITIONS:
- Ability to work for extended hours at a computer station.
- Primarily office/administrative position with occasional travel and or exposure to outdoor elements - rain, snow, heat, etc.
- May occasionally need to work weekends, evenings, holidays as business needs.
- Occasional exposure to a noise and active production/plant floor (PPE provided and required)
