Program Coordinator
JD Externship Program
Position Summary:
The Program Coordinator for the JD Externship Program is an integral member of the team, supporting law students in apprenticeship-type placements where they earn credit toward their law degree. The Program Coordinator provides administrative support for the Program’s faculty, including adjuncts; works with students and potential placement organizations to field inquiries about the program; and assists with a wide range of administrative tasks necessary to manage and streamline the program’s placement and course activities.
Essential Functions and Principal Accountabilities:
Reception/Communication
- Act as first point of contact for students: staff the reception desk, provide basic information on program, timelines, and opportunities; explain and enforce standard policies and procedures; process program applications; troubleshoot, and refer issues to supervisor as necessary.
- Oversee the JD Externship’s email account: respond to basic inquiries and student questions; manage distribution of complex requests to JD externship supervisor or professors for response; communicate with students about program matters throughout the semester.
- Serve as liaison to other constituents both on and off campus including responding to inquiries from potential placement sites about the program and gathering their information for the placement database.
- Request and collect responses from placement site supervisors.
Administrative / Program Management
- Maintain student and supervisor records; follow-up with students to obtain up-to-date materials; archive files including student work and evaluations at the end of each semester; maintain shared files; create and maintain contact lists; assure data retention is in compliance with ABA and Vermont Law and Graduate School policy.
- Provide general administrative support to the Program Director and faculty members including but not limited to: answer phones, perform receptionist duties, email bulk correspondence, order supplies, maintain calendars and schedule meetings, process expense reports and retain receipts.
- Maintain placement database.
- Generate reports as requested by Program Director; assist in putting together outreach marketing materials.
- Organize and coordinate occasional department events such as information sessions and orientations, including scheduling rooms, AV support, marketing, etc.
- Faculty support (scheduling, exam and proctoring assistance, general support, etc.) as needed.
Experiential Learning
- Provide administrative support to the Associate Dean for Experiential Learning including administrative support for their Committee and Administrative obligations.
- Other duties as assigned by the Associate Dean for Experiential Learning.
Required Education, Skills and Experience:
- Bachelor’s Degree or Associate’s Degree, or the equivalent relevant experience.
- Understanding of and appreciation for inclusion, including the ability to work with students, faculty, and staff from diverse backgrounds, identities, and viewpoints.
- High degree of professionalism.
- Strong organizational and time management skills.
- Interest in regular interaction with students.
- Strong interpersonal and teamwork skills and a sense of humor.
- Outstanding English-language written and oral communication skills.
- Ability to work independently and collaboratively within a team.
- Familiarity with or a willingness to learn and embrace various software/platforms, including practice management and timekeeping software, Canvas or related learning management system(s), and cloud-based Microsoft Office programs.

- Must be able to work legally within the United States without sponsorship.
- Physical ability to perform all essential functions of the job with or without basic accommodations.
