Purpose Of Position 

Thinking and acting like an Owner exemplifies the Tenant Coordinator role at CIRE Equity. Being a tenant coordinator provides individuals with the opportunity to interact with people from nearly every discipline within the company while also providing a welcoming experience to our diverse mix of tenant business owners. The Tenant Coordinator position reports to the Director of Construction & Development; this position is responsible for aiding new tenants as they prepare to open their businesses. The position requires hands-on experience with construction, architectural design, permitting, property management, and lease administration. Successful performance will be measured by qualitative aspects such as Tenant satisfaction as well as measurable results such as actual vs budgeted rent commencement. This position requires strong negotiating skills, verbal & written communication skills, accuracy and accountability, judgment, and confidentiality. The Tenant Coordinator position functions at a high capacity within the context of a larger team, setting & implementing goals and supporting leasing initiatives.


  

Job Duties/Responsibilities


NOI Enhancement

  • Keep a watchful eye on budgeted rent commencement dates as it relates to the progress of the tenant and the rent commencement criteria contained in the Lease.
  • Work with accounting to generate, update, and report on construction & development construction progress.
  • Push to bring individual tenant rent commencement dates prior to the budget.

Operational

  • Assist tenants through the design, permitting, and build-out process.
  • Ensure tenant compliance with lease and property requirements including collection of construction deposit. 
  • Review and approve tenant construction drawings, in comparison to the Landlord and Tenant construction obligations.
  • Track the permitting, bidding, and construction phases of the tenant's work through the opening.
  • Flag tenants that do not have the financial reserves or professional capacity to meet the terms of their lease agreements.
  • Property site visits to verify tenant construction progress and compliance with approved drawings.
  • Work with accounting to set up Capex and Tenant Improvement jobs in the Job Cost module when contracts or leases are executed. 
  • Review and track Tenant Improvement Allowance requests, ensuring compliance with lease terms and lien waivers are received.
  • Review Tenant signage and prepare Landlord’s review/approval letter, permit authorization letter, and confirmation of receipt of COI and sign deposits. 

Administrative

  • Update landlord’s tracker with tenant contacts, progress status, critical dates, and rent commencement criteria.
  • Provide Lease Administration pertinent information to administer the Lease including critical dates and documents for the Lease file.
  • Distribute Landlord shell and construction documents for use in Tenant design.
  • Update CIRE Equity plan archive with final tenant drawings.
  • Monitor the receipt of all Landlord and Tenant permits, including utility, site, shell, and interior construction documents. 
  • Coordinate with local municipalities on the requirements and process for inspections and occupancy regulations. 
  • Minor and oversee the Permit Process in coordination with Design Consultants throughout the permit approval process. 
  • Collect Certifications of Insurance to maintain compliance with Leases. 
  • Maintain Master Signage program on Landlord Portfolio.

Legal

  • Abstract lease and track critical dates.
  • Distribute Notices of Delivery, Turnover, Default 
  • Ability to interpret and abstract pertinent lease provisions, including Landlords' Work letters.      
  • Monitor and ensure the satisfaction of lease contingencies and consents.
  • Anticipate potential tenant problems and address them before they become legal or collections issues.

 Community & Municipal Involvement

  • Interact with city officials to maintain good relationships.
  • Develop strong relationships with consultants with the design and permitting process.

Vital Goals/Performance Measurements

  • Construction tracker is current with updates input no later than 48 hours of companywide lease execution. 
  • Ensure Director of Construction & Development is current on all project status, emphasizing any that are falling behind schedule. 
  • Successfully assist tenants through the design, permit and construction process. 
  • Tenant preliminary floor plan and project plan review meet budget at 80%+ success rate.
  • Ensure permit process is received per budget at 85%+ Success rate. 
  • 99% success rate in keeping title clean of encumbrances.
  • Ensure utilities transferred to new tenant within 72-hour timeframe. 
  • 50% of Tenants open prior to budgeted rent commencement date.

 Job Experience Qualifications 

  • Bachelor's degree or equivalent work experience.
  • A minimum of 3 years of broad-based construction or tenant relations experience, including time in the commercial/community shopping center industry.
  • Experience with Procore, MIR Job Cost & B&F Modules, Nexus, and PlanGrid is a plus.
  • Ability to read and understand construction drawings.
  • Understand the construction permit process.
  • Skilled in customer service and tenant relations.
  • Understand contracts/leases.
  • Working knowledge of City permitting systems to track and follow Tenant’s permit submittals. 
  • Working knowledge of City GIS systems. 
  • Must have a strong work ethic and the ability to work in a fast-paced environment.
  • Proficiency with Microsoft Office software, including OneNote, Planner, and Project.
  • Ability to work required hours; willingness and ability to travel required.
Salary Description
$30.00 to $40.00 per hour
