ORGANIZATIONAL BACKGROUND

Neighborhood Housing Services is a Nonprofit community developer and affordable home builder and is seeking a highly motivated individual and experienced Executive Assistant to join our team. Neighborhood Housing Services of Los Angeles County (NHS) serves as a catalyst for local residents, business and government representatives to work together to build stronger neighborhoods, improve the quality of life for low to moderate income families and revitalize communities into neighborhoods of choice. 

GENERAL ROLE DESCRIPTION

We are looking for an Executive Assistant to perform a variety of administrative tasks and support NHS’s President and CEO. Ideal candidate will need to be high functioning and ability to work in an everchanging environment. The person must have a desire to work in the nonprofit sector. Must be a hard worker, critical thinker and able to work independently.

Duties/Responsibilities:

  • Complete a wide-ranging variety of administrative tasks that supports the CEO and her ability to effectively lead the organization, including: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and partners; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. 
  • Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO’s style and organization policy.
  • Work closely with the CEO to ensure she is adequately informed of upcoming commitments and responsibilities, following up appropriately. 
  • Anticipate CEO’s needs in advance of meetings, conferences, etc. and effectively prep her to ensure she is adequately prepared.
  • Support the CEO as the point of contact among executives, employees, clients and other external partners
  • Provide strategic administrative and project management support.
  • Track daily expenses and prepare weekly, monthly or quarterly reports.
  • Take minutes during meetings.
  • Assist with support of marketing/practice development activities, including events, marketing materials, and industry group support.
  • Leverage internal network and teams to effectively manage workflow.
  • Provide effective calendar management for CEO by prioritizing inquiries and requests while troubleshooting conflicts; make judgements and recommendations.
  • Other duties and special projects as assigned.
Requirements

Required Skills/Abilities:

  • Strong ability to execute work with a diversity, equity, and inclusion lens.
  • Significant executive support experience.
  • Expert proficiency with Microsoft Office and desktop publishing software.
  • Work experience as an Executive Assistant, Personal Assistant or similar role.
  • Ability to work well within a cross-functional team environment and diverse communities.
  • Outstanding organizational and time management skills
  • Excellent verbal and written communications skills.
  • Discretion and confidentiality.
  • Ability to switch gears at a moment’s notice.
  • Thrive in an intense, do-it-yourself, start-up environment.

Education and Experience:

  • College degree required
  • Minimum of 10 years of related experience required, preferably in an executive support role; experience in a professional services environment preferred
  • Must be legally authorized to work in the United States on a full-time basis upon hire. 
  • Intermediate Microsoft Office Suite skills; advanced skills preferred
  • Excellent written and verbal communication skills
  • Judgement and ability to prioritize to effectively manage work load
  • Ability to handle sensitive situations and confidential information with discretion
  • Ability to work effectively with teams and independently
  • Good problem solving and analytical skills; ability to identify process improvement suggestions

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
  • Must have valid driver’s license.

Salary Description
$65,000 - $85,000 annually
