Project Administrator
Description

The Project Administrator will assist the Project Managers and Project Coordinators by providing a wide range of administrative duties and functions.


Duties and Responsibilities (Essential Job Functions)

  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents. 
  • Creates and manages electronic project folders.
  • Gather and maintain subcontractor insurance requirements and miscellaneous government forms.
  • Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
  • Provides high-level administrative support and assistance to the Executive Director and/or other leadership staff.
  • Helps with arranging travel and training on travel software with executives and field personnel.
  • Schedules and attends meetings, taking notes and recording minutes.
  • Receives incoming communication or memos, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff. Handles shipping needs for international projects.
  • Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the global operations of the company.
  • Request credentials for access to project locations on Government facilities. Work with subcontractors to gather necessary information and coordinate with Government personnel at project locations to secure access credentials for project personnel.
  • Perform other duties as assigned
Requirements

Education and Experience

  • ·A Bachelor’s degree in Business Administration and 1-2 years of related experience; or
  • A community college program and 3 or more years of related experience; or
  • A High School diploma and 5 or more years of related experience

Knowledge, Skills, and Abilities

  • Ability to assume responsibility, achieve assigned goals and work effectively with others. 
  • Ability to professionally communicate both verbally and in writing is required. Excellent interpersonal skills with attention to detail are essential. 
  • Ability to accurately organize, prioritize, plan and complete all job responsibilities. 
  • Knowledge of construction or other related technology and procedures required.
  • Proficient in Microsoft Office.
  • Knowledge of administrative and clerical procedures and systems such as work processing, e-mail, spreadsheets, and managing files and records and other office procedures at a proficient level. 
  • Demonstrates ability to work independently

Supervisory Responsibilities

  • Works under the direction of the Project Coordination Supervisor 

Working Conditions

  • Light physical effort equal to frequent lifting or moving of lightweight materials 
  • Regularly required to sit or stand, bend, and reach
  • Must have valid driver’s license and be insurable under the company auto insurance policy
