POSITION:   Producing Assistant

CLASSIFICATION:  Full-Time, Seasonal

STATUS:   Non-exempt

REPORTS TO:   Producer

SUPERVISES:  N/A

COMPENSATION: $18/hour

LOCATION:  Position requires relocating to Williamstown, MA from June - August, during which housing is provided.

HIRING TIMELINE: Applications to be accepted until the position is filled with priority application deadline of March 15, 2024. Application review and interviews to be conducted in March with an anticipated start date of mid June 2024 and an end date of August 17.

JOB SUMMARY:

The Williamstown Theatre Festival, renowned for its commitment to artistic excellence, is seeking a skilled and passionate Producing Assistant for the 2024 Season. Reporting to the Producer, this role is integral to the producing team and the success of all festival programming. This is a seasonal position to start in June on site in Williamstown, MA. 

RESPONSIBILITIES & EXPECTATIONS:

  • Assistant Line Produce the summer season, including:
    • Working on contracts 
    • Tracking budgets
    • Helping to coordinate with Company Management, Business, Marketing, and Production departments to ensure information is shared, timelines and deadlines are clear, and all are working towards shared goals
  • Help to communicate with all technical departments to ensure that the production needs are met in a timely and safe manner
  • Provide support for rehearsals, including but not limited to: assisting with supply ordering, printing, coordinating rehearsal room needs with the Production office, etc.
  • Collaborate with the Marketing team to gather assets for programs or printed materials and to ensure materials are reviewed and approved by relevant artists and staff
  • Provide contracting and administrative support to Fridays@3 readings
  • Support line producing of workshops, residencies, and special events as needed 
  • Assist Producer in adhering to union agreements, including necessary reporting, tracking, and documentation
  • Partake in season debrief meetings and create documentation of notes that will better serve the position and producing department next summer.
  • Provide stage management support for select residencies and workshops, as needed
  • Embrace the Festival’s commitment to EDIA and Anti-Racism by actively participating in and encouraging behaviors among staff members that exemplify respect; interrupting microaggressions and other behaviors that hinder our EDIA and Anti-Racism efforts; engaging in the diversification of the workforce; demonstrating a degree of cultural competency that encourages healthy relationships with all company members
  • Adhering to all Festival safety protocols
  • Assist in the load-in and load-out of campus spaces, including offices and workspaces, equipment counting, and off-season storage, as needed
  • Complete other duties as assigned
  • An essential function of this job is in-person work in Williamstown, MA.

QUALIFICATIONS

  • The Williamstown Theatre Festival does not require a specific number of years of experience or have a minimum for educational credentials. 
  • Experience working in theater and on theatrical productions/live events, be that in educational spaces, professionally, or elsewhere
  • Knowledge of and/or desire to learn various facets of producing and supporting creative processes
  • Ability to thrive in a fast-paced and dynamic environment, with the flexibility to adapt to changing priorities and timelines.
  • Strong organizational and project management skills
  • Strong communication skills, both verbal and written
  • Strong familiarity with Microsoft Office Suite, including Excel, Google Docs, and Google Drive
