POSITION:   Business Assistant

CLASSIFICATION:  Full-Time, Seasonal

STATUS:   Non-Exempt

REPORTS TO:   Business Manager

SUPERVISES:  N/A

COMPENSATION: $18/hr

LOCATION:  On-site in Williamstown, MA from June - August, during which housing is provided.

HIRING TIMELINE: Applications to be accepted until the position is filled with priority application deadline of March 15, 2024. Application review and interviews to be conducted in March/April with an anticipated start date in early June 2024 and end date of August 17.

JOB SUMMARY: 

The Business Assistant is a valuable team-member for the seasonal Business Office and handles Festival-wide purchasing. Reporting to the Business Manager, the Business Assistant acts as the primary assistant in maintaining and supporting the financial operations of the Festival. 

RESPONSIBILITIES & EXPECTATIONS:

  • General office tasks: managing Festival mail, making bank deposits, filing and office organization
  • Accounting functions: working with Business Manager to track all purchase orders, check requests, and other documentation related to production spending, as well as certain credit card and petty cash reconciliations
  • Database management: oversee and maintain accuracy of Festival purchasing database, including data entry and reporting
  • Payroll functions: contract processing, collection and tracking of employee documentation, preparation of weekly union payroll reports
  • Prepare and enter daily sales reports
  • Liaison between the Production departments and Business Office for all financial requests
  • Manage Production office AMEX purchases
  • Manage Festival petty cash system utilizing web-based system (PEX)
  • Assist in preparing weekly budget management reports

QUALIFICATIONS

  • Proficiency with Microsoft Office and Google Suite
  • Familiarity with accounting software and/or databases (Quickbooks, Filemaker)
  • High attention to detail
  • Ability to balance competing priorities under pressure
  • Comfortable working independently on projects
  • Discretion when it comes to handling sensitive and confidential information
  • Clear communication skills
  • Sense of humor
  • A passion for the performing arts
