POSITION SUMMARY: Openhouse seeks a dynamic, resourceful, and organized Operations Coordinator (OC) who is passionate about providing superlative customer service and resolute in the belief that everyone deserves to be treated with professionalism and respect. Working closely with Operations team members and reception volunteers, the OC provides a positive impression and pleasing experience of an innovative and bustling LGBTQ senior center and service offices for community members, volunteers, staff, and guests. A friendly and engaging interpersonal demeanor and a pleasant community service focused attitude are essential.


The position encompasses day-to-day office and senior community center oversight, administrative support, inventory control, health and safety, and emergency preparedness. The OC will be proficient in Openhouse cultural competency standards in order to create a gracious and welcoming space for all who seek services and community. Additionally, the OC coordinates with Operations team members to support ensuring Openhouse facilities are maintained to an exceptional standard.


The position is full-time (1.00 FTE), non-exempt, and has no direct supervisory responsibilities. The Operations Coordinator reports to the Operations Manager. The work schedule is expected to be Tuesday – Saturday; occasional Monday, evening, and/or additional weekend hours will sometimes be required. The actual schedule is subject to change.


ABOUT OPENHOUSE: Openhouse was founded in 1998 to enable lesbian, gay, bisexual, transgender, and queer (LGBTQ) seniors to overcome the unique challenges they face as they age by providing LGBTQ-welcoming housing, resources, high-impact direct services, and innovative community programs. As a result, Openhouse reduces isolation and empowers LGBTQ seniors to improve their overall health, well-being, and economic security.

COMPENSATION: Starting range is $23.50–$25.50 hourly. Compensation is commensurate with experience. This is a full-time (1.00 FTE) non-exempt position. Openhouse offers a dynamic, vibrant, collaborative and supportive work environment. All eligible employees may participate in insurance benefits upon first of the month following 30 days after date of hire – full-time employees are eligible for health insurance, while full- and part-time employees are eligible for dental, vision, and LTD insurance. Requirements


DUTIES AND RESPONSIBILITIES:

1. Provide appropriate and consistent front desk reception coverage 

  • Greet people with warm friendliness, offer genuine hospitality, and deliver extraordinary service to the community
  • Welcome persons entering establishment, ensure completion of registration logs including COVID screening, determine purpose of visit, and direct as appropriate
  • Partner with the Operations team members to ensure efficiency and continuity in supporting reception volunteers in providing consummate customer service 
  • Answer incoming calls in an enthusiastic tone and in a manner consistent with the mission and values of Openhouse: answer questions, provide information, take messages, and route and log calls
  • Maintain general office and senior activity center appearance and organization including tidy and presentable reception desk, lobby area, and break room 
  • Identify strategies to improve reception services, systems, and processes

2. Perform administrative, program, and operations coordination tasks

  • Partner with Operations Coordinator and Operations Specialist to maintain service offices and senior activity center office machines and appliances, provide user training and support
  • Utilize online tools to facilitate workstation and room reservation processes for shared spaces 
  • Provide technical software and hardware user assistance and troubleshooting, including elevation to Operations team members 
  • Support senior activity center and office onboarding orientation and training as needed for employees, volunteers, interns, and other personnel; acquaint people with operations procedures, resources, and facilities
  • Support interdepartmental and organizational efforts to share information, promote understanding, and engage the larger community by leading building tours and supporting special events 
  • Maintain continuity within the primary work team by documenting and communicating actions and irregularities
  • Receive and distribute mail and packages as needed

3. Support a clean, safe, and productive senior activity center and service offices environment

  • Support building preventive and general maintenance: identify problems, communicate issues, develop solutions, and take appropriate actions to resolve facilities concerns
  • Maintain safety and security by supporting and promoting Openhouse policies and procedures, monitoring building security cameras, and actively participating in Openhouse safety and security culture including enacting de-escalation techniques as appropriate 
  • Establish and support inventory controls, ensuring office, break room, and janitorial supplies are well stocked, carefully organized, and readily accessible
  • Complete accurate opening and closing procedures for the building as directed
  • Perform custodial maintenance daily to ensure relative cleanliness: clean spills and countertops, pick up trash and remove obstacles, empty compost, recycling, and garbage, ensure break room tidiness
  • Using on-site appliances, launder programs and organizational materials used during normal operations as needed
  • Prepare physical meeting spaces as requested; return spaces to standard setup.

DESIRED QUALIFICATIONS:

The ideal candidate for the position will be able to demonstrate: 

  • Experience working with LGBTQ older adults—or equivalent experience working with other populations with unique socialization and service needs—is ideal
  • Extensive customer service experience
  • Excellent computer skills and experience troubleshooting with a variety of technology and software with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Outstanding communication skills including friendliness, active listening, empathy, and confidence
  • Strong interpersonal skills including tact, patience, and flexibility, as well as the ability to give and receive feedback
  • Ability to maintain confidentiality when dealing with sensitive and proprietary information
  • Ability to remain calm under pressure
  • Creative problem-solving skills including good judgment, team orientation, and emotional intelligence
  • High dependability, integrity, and conscientiousness; excellent time management skills
  • Able to recognize and affirm that LGBTQ older adults live at intersections of race, ethnicity, class, culture, HIV status, sexual orientation, gender, gender identity, spirituality, and ability
  • Understanding of—and commitment to—social justice, and a desire to support and advance a personal, as well as an organizational, culture of diversity, equity, and inclusion. 
  • Active, informed, and engaged participation in Openhouse’s intentional trainings in anti-oppression and anti-racism work.

PHYSICAL REQUIREMENTS: Full COVID vaccination required. Physical skills and ability to perform work that requires sitting, walking, stooping, bending and lifting up to 35 pounds.
