Nestled in 25 acres of beautiful gardens, Philbrook Museum of Art is a 1920s Italianate Villa featuring a dynamic and ambitious program of rotating exhibitions and galleries with selections from an actively growing collection of approximately 15,000 objects. With artworks from Africa, the Americas, Asia, and Europe dating from 3,000 BCE to today, Philbrook is Oklahoma’s most comprehensive art museum and offers visitors a glimpse into a broad range of cultures, time periods, and perspectives. Position Overview 

Philbrook seeks to fill a 3-6 month term position of Assistant Registrar. The Assistant Registrar participates in all areas of registration, with particular emphasis on data entry and project support. They will assist the Chief Registrar with documentation and record-keeping related to both the permanent collection and exhibitions, including accessioning and deaccessioning; loan paperwork; object relocation; insurance; packing; shipping arrangements; and condition monitoring. This position reports to the Chief Registrar, and works closely with exhibition and project stakeholders to coordinate activities.


Essential Responsibilities

Exhibitions and Loans:

  • Collaborates with exhibition stakeholders to prepare and distribute installation documents. 
  • Monitors and documents condition of loaned objects. 
  • Works closely with installation team members to ensure the proper handling, installation, and safety of collection and loaned objects.

Collections:

  • Maintains accurate and consistent collection-related documentation, including paper and digital files.
  • Helps uphold policies and procedures related to the permanent collection.
  • Conducts regular gallery and storage inspections and light cleaning.
  • Coordinates tasks, drafts documents, and communicates with borrowers for outgoing permanent collection loans.

Project Administration:

  • Keeps project calendars up to date.
  • Fields object donation offers and other external requests.
  • Prepares documents for project stakeholders.
  • Maintains prompt and reliable attendance in order to successfully perform the duties of the job
Requirements

Equivalent Education/Experience

  • Bachelor's degree in Art History, Humanities, Library and Information Science, Museum Studies, or a related subject. 
  • At least 1 year of registration or related experience. 

Knowledge/Skill/Ability

  • Excellent attention to detail 
  • Strong copy-editing skills and an indelible commitment to accuracy 
  • Familiarity with collections management procedures, fine art registration work, and proper art handling policies and procedures
  • Highly organized, flexible, and collaborative
  • Must maintain a valid state driver license
  • Intermediate computer skill and proficiency in collections database management (TMS), MS Office Suite, and imaging applications and software

Schedule Information:

This position will work 20-30 hours depending on our needs. The shifts will fall between the hours of  9:00am - 5:00pm in office Monday through Friday (with occasional evenings and weekend hours as needed).
